The **Calendars** panel lists every calendar Plexii shows: your own Plexii calendars, where the time you book is kept, and any Google or Outlook calendars you have linked. Each has its own colour, so you can tell at a glance whose time a block or event is.

Open it to add a calendar, change a colour, hide a calendar for a while, refresh one now, or choose which Plexii calendar new blocks go on.

The Calendars panel is part of every plan.

## Open the Calendars panel

1. Open Calendar. In the side menu, under **Apps**, click **Calendar** in the **Tools** group.
2. Click **Calendars** in the toolbar, beside the view buttons.

The panel opens over the calendar. Click the cross or anywhere outside it to close it.

## What the panel shows

The panel has three parts:

- **Add a calendar**, where you paste a calendar link. See [Add a Google or Outlook calendar with a link](https://plexiidesk.com/help/calendar-ics-feeds).
- **Your calendars**, the list described below.
- **Sign in with Google or Microsoft instead**, a folded section for linking a whole account. See [Sign in to Google or Microsoft calendars](https://plexiidesk.com/help/calendar-google-microsoft).

Each calendar in **Your calendars** shows:

| Part | What it tells you |
| --- | --- |
| The coloured dot | Whether the calendar is showing. Filled means showing; an empty ring means hidden. |
| The name | The calendar's name. Your default Plexii calendar says **· default**. |
| The line under the name | Where it comes from: **Plexii**, **Feed**, **Google** or **Outlook**, then when it was last updated, **never synced**, or the last problem reading it. |
| The colour swatches | The colours you can give it. The chosen one has a ring. |
| The last line | Which way events travel. See [Which way events travel](#which-way-events-travel). |

Your first Plexii calendar is called **Plexii** and is created for you.

## Change a calendar's colour

Click a swatch under the calendar. Its blocks or events take the new colour straight away, on every view.

## Show or hide a calendar

Click the coloured dot beside the calendar's name. Its tooltip says **Showing — click to hide** or **Hidden — click to show**. A hidden linked calendar's events leave the calendar until you show it again.

## Refresh a linked calendar now

Linked calendars refresh by themselves every 15 minutes while PlexiDesk is open. To refresh one now, click the circular arrow on its row, **Refresh now**. A line at the top of the list confirms it, for example **Refreshed — 42 events.**

## Remove a calendar

Click the cross at the end of the calendar's row, **Remove**. Its events leave your calendar.

You cannot remove your default Plexii calendar. To remove it, first make another Plexii calendar the default.

## Add another Plexii calendar

1. Click **+ New Plexii calendar** above the list.
2. A calendar called **New calendar** is added with a colour no other calendar is using.

### Choose where new blocks go

Exactly one Plexii calendar is the default, and every block you book goes on it. To change it, click **Make default** on another Plexii calendar. Its tooltip reads **New blocks land on this calendar**.

## Which way events travel

The last line of each calendar says how it is connected:

- **Feed** calendars say **One-way: a published feed cannot be written back to.** You see their events in Plexii; nothing in Plexii changes them.
- **Google** and **Outlook** calendars you signed in to say **Two-way: events here are read, and Plexii blocks can be written back.**
- **Plexii** calendars show **Write out to** with a list. Leave it on **Keep in Plexii** to keep your blocks to yourself, or choose a signed-in Google or Outlook calendar to have your blocks written there as well. See [Sign in to Google or Microsoft calendars](https://plexiidesk.com/help/calendar-google-microsoft#write-your-blocks-to-google-or-outlook).

## When a calendar shows a problem

If Plexii cannot read a linked calendar, the line under its name shows the reason instead of the update time, and the same message appears at the top of the panel when you add or refresh it. Common causes:

- **The link has changed.** If you reset a calendar's private link in Google or Outlook, the old one stops working. Remove the calendar and add it again with the new link.
- **You are offline.** Check your internet connection, then click **Refresh now**.

## Common questions

**Can I rename a calendar?** Not in this version. Linked calendars keep the name you gave them, or their own name from Google or Outlook.

**Where do I see the colours?** On blocks and events in every calendar view, and as the dots on each day in **Year**.
