> Let Plexii lay out your day from your open work, by priority or by what you say the day is about. Review every block, change it, then accept.

**Plan my day** fills your day with time for your open work. Plexii takes your Attention items, picks the ones that matter most, and fits them into the free time between your meetings and other blocks. You can also tell it what the day is about, such as "the launch" or "admin before noon", and it plans around that instead.

Nothing is booked until you say so. The plan opens for review first, where you can see why each item was chosen, move things around, change times and lengths, or drop a block, then accept the whole plan in one go.

## Before you start

- **Plans.** Plan my day is part of the Pro and Team plans.
- **Have open work in Attention.** The planner places your open Attention items. If you have none, there is nothing to plan. See [Attention](https://plexiidesk.com/help/attention-overview).
- **Open Calendar.** In the side menu, under **Apps**, click **Calendar** in the **Tools** group.

## Plan your day

1. Choose the day. In **Day**, the planner plans the day you are looking at. In **3-Day**, **5-Day**, **Week** or **Year**, it plans today when today is in view, or the first day shown otherwise.
2. Optionally, type what the day is about in the box above the calendar, next to the sparkle. Its placeholder reads **What's this day about? (optional — leave empty and Plexii picks by priority)**. Press `Shift` `Enter` for a new line.
3. Click **Plan my day**, or press `Enter`.
4. The plan opens in a review window called **The plan Plexii proposes**. Check it, change anything you want (see below), then click **Accept plan**.

The blocks are booked on your calendar. To undo the whole plan, press `⌘` `Z` on a Mac or `Ctrl` `Z` on Windows once.

> **Tip:**
> If today's working hours are already over, the planner plans tomorrow instead and says so.

## Tell the planner what the day is about

Write in plain words. The planner reads:

| You write | What it does |
| --- | --- |
| A topic, such as **the client launch** or **everything for Acme** | Picks the open items about that topic and plans only those. |
| A day, such as **tomorrow** or **on Thursday** | Plans that day instead of the one you are looking at. |
| A time of day, such as **this morning**, **before noon**, **the first half**, **after 2pm** or **between 10 and 3** | Keeps the plan inside that part of the day. |
| **spread across the week** or **over the next few days** | Spreads the work over several working days. |
| **reschedule the rest of my day to tomorrow** | Moves today's remaining blocks to the days you name. Meetings and pinned blocks stay put. |

If nothing matches what you wrote, the planner says so and offers **Plan the rest of the day instead**, which plans from all your open work.

## Review and change the plan

The review window shows the number of blocks and how much time they take, for example **4 blocks · 2h 30m**, and repeats what you asked for. A note from the planner, when it has one, explains anything it decided, such as keeping time clear around your meetings.

Blocks are grouped by day. Each row shows the start time, the item, why the planner chose it, and the length. Between rows, the free time is shown, with longer gaps marked **open**.

- **Change the order.** Drag a row up or down. The item takes the time slot it lands on.
- **Change the day or start time.** Click the time and pick a new date or time.
- **Change the length.** Click the length and type a number of minutes.
- **Remove a block.** Click the cross at the end of its row.
- **Spot clashes.** A row marked **overlaps** collides with another block. Change its time or length.

Click **Accept plan** to book every block, or **Discard** to throw the plan away. Press `Esc` to close the window and keep the plan for later.

## While a plan is waiting

While you have a plan you have not accepted, a bar above the calendar shows how many blocks are proposed and their total minutes, and the proposed blocks are shown on the calendar, marked as proposed. In the bar:

- Click **Review** to open the review window again.
- Click **Accept all** to book every block without reviewing it.
- Click the cross to clear the plan.

## Replan what slipped

When blocks from earlier today have passed without being done, click **Replan undone**. Plexii marks those blocks as missed, so you can still see them, and proposes fresh time for their items in what is left of the day. Review and accept it as usual.

If nothing slipped, it says **Nothing slipped. Clean slate.**

## Planner settings

Click the sliders button beside **Replan undone** to set how the planner works. Your choices are saved on this computer and used the next time you plan.

| Setting | What it controls |
| --- | --- |
| **Day starts** | The earliest time the planner books. |
| **Day ends** | The latest time a planned block ends. |
| **Planned work ceiling** | The most booked work in one day, counting blocks already on the calendar, from 3 to 8 hours. |
| **Drag books instantly** | When on, dragging across the calendar books a focus block straight away, named in place, instead of opening the Book time dialog. |
| **Longest sitting** | The longest single block the planner proposes, from 45 to 120 minutes. |
| **Meeting buffer** | How much time to keep clear around your meetings, or **off**. |
| **Breathing room** | The gap between planned blocks, from 5 to 20 minutes. |

Out of the box, the day runs from 9 AM to 5 PM with a 5.5-hour ceiling, 90-minute sittings, 15 minutes around meetings and 10 minutes between blocks.

## Common questions

**The planner says "Nothing to place — the day is full, or everything left is waiting on someone else."** Your free time is used up, or your open items are all waiting on other people. Try another day, or raise **Planned work ceiling**.

**Does it plan around my Google or Outlook meetings?** The planner works around the blocks and meetings on your Plexii calendar. Keep an eye on mirrored meetings in the review and move any block that clashes.

**Can I plan without typing anything?** Yes. Leave the box empty and Plexii picks by priority.

**I accepted a plan by mistake.** Press `⌘` `Z` or `Ctrl` `Z`. The whole plan is undone at once.
