When a recording ends, PlexiDesk wraps it up. It transcribes the conversation on your computer, writes a summary, finds the commitments people made, and suggests the things worth creating from it. You check what it found, choose what to keep, and the meeting is saved as a record you can come back to in PlexiiMeet.

The wrap-up runs for every kind of recording: a PlexiiMeet meeting you recorded, a one-to-one call you transcribed, **Record notes** and **Record external**. Each meeting's record then lives in the **Meetings** list, with its summary, its transcript, who spoke and its action items.

## Before you start

- **Record something.** The wrap-up opens when you leave a meeting you were recording, end a call you were transcribing, or stop **Record notes** or **Record external**. See [Recording, consent and transcripts](https://plexiidesk.com/help/meet-recording-and-consent) and [Record notes or a meeting held elsewhere](https://plexiidesk.com/help/meet-record-notes-and-external).
- **Set up AI.** The summary, the record and the commitments are written by AI: sign in to use PlexiDesk credits, or add your own Anthropic API key. See [AI credits and where your AI runs](https://plexiidesk.com/help/ai-credits). The transcription itself happens on your computer.
- **Plans.** The wrap-up and meeting records are part of every plan.

## What happens when a recording ends

The **Wrap-up** window opens, titled with the meeting's name. While it works it tells you what it is doing, for example **Transcribing on-device — You (1 of 2)…**, then **Summarising and finding deliverables…**, **Building the record…** and **Finding commitments…**.

Along the way, PlexiDesk keeps everything that came out of the conversation together:

- **The transcript** is saved as a document named after the meeting, for example **Weekly sync — transcript**, in a new folder named after the meeting and the date. When the meeting was started from a desk, or you attached a desk to **Record notes**, the folder is made inside that desk.
- **Your notes**, if you wrote any or marked moments, are saved as their own document, for example **Weekly sync — your notes**, exactly as you wrote them.
- **The meeting** is added to the **Meetings** list in PlexiiMeet.
- **A desk** holds the meeting's record as a [Meeting Record widget](https://plexiidesk.com/help/widget-meeting-record), with the transcript document beside it. It is the desk you attached to **Record notes**, or otherwise a new desk named after the meeting and the date.
- **A brief** named **Meeting brief —** and the meeting's name is added to your Attention queue under **Know**, holding the summary. See [Attention: everything that needs you](https://plexiidesk.com/help/attention-overview).
- **The audio** stays on this computer for as long as **Keep meeting audio** says. See [Keep, re-transcribe or delete the audio](#keep-re-transcribe-or-delete-the-audio).

## Review the wrap-up

When it has finished, the window shows, from top to bottom: anything carried from the last meeting in a series, the commitments it found, the **Summary**, where the transcript was saved, and the **Deliverables**.

### Confirm the commitments

The commitments card reads **Plexii found** and the number of things, with **nothing files until you say so** beside it. Nothing reaches your Attention queue until you file it.

Each row is one thing someone committed to:

- **The tick box.** Your own commitments, and ones with no owner, arrive ticked. Someone else's arrive unticked, marked **owner is** and their name, **not you**.
- **The category**, such as **To Do** or **Respond**. Click it to change it. Each click moves to the next category.
- **The due date**, when one was said.
- **Where it came from.** A quote of the line, with its time and who said it. A row with no matching line in the transcript reads **No transcript anchor — the machine’s reading, verify before you rely on it**.

Tick the ones you want, then click **File** with the number of items, or press `Enter`. A notice confirms it, for example **Filed 3 commitments — they live on the meeting's desk**.

Filed commitments go into your Attention queue, on the meeting's desk. Each one points back at the moment it was said, so opening it from Attention takes you to that line of the transcript. A commitment someone else owns is filed with that person mentioned in it. Filing it does not send them anything.

### Choose where deliverables go

Under the summary, **Transcript saved in** names the meeting's folder. Beside **Add deliverables to**, choose where any documents you create should go: the meeting's folder, marked **(this meeting)**, **Workspace root**, or another of your top-level folders.

### Create the deliverables

**Deliverables** lists what Plexii suggests making from the conversation, with the reason for each. For each suggestion:

- **Click the card** to create it. Once it is made, click **Go to** to open it, or **Undo** to take it back.
- **Click the folder arrow**, **Choose where to add this**, to pick where it goes first.
- **Click the cross**, **Dismiss this suggestion**, to drop it.

When Plexii found commitments, the same tasks are not offered again as deliverables. If nothing came out of the meeting, the list reads **Nothing actionable came out of this conversation.**

When you are finished, click **Done**. You can also press `Esc` or click outside the window. Closing it keeps everything that was saved. If you close it before filing the commitments, you can find them again from the record later.

### Carried from last time

A meeting that is part of a repeating series, such as a weekly meeting booked on the calendar, starts with **Carried from last time**: the items from the previous meeting that are still open. Rest the pointer on one and click **Done** if it was settled in this meeting.

## When the wrap-up cannot finish

| The wrap-up says | What it means |
| --- | --- |
| **No speech was captured in this conversation, so there is nothing to summarise.** | The recording was silent. Check that PlexiDesk is allowed to use your microphone. See [Allow microphone, camera and screen recording on a Mac](https://plexiidesk.com/help/mac-permissions). |
| **Add an Anthropic API key in Settings → AI to get a summary and deliverables.** | AI is not set up. Sign in to use credits, or add your own key in **Settings** > **AI**. The transcript has already been saved as a document. |
| **On-device transcription failed for** a person | The transcription on this computer could not finish for that person's audio. Try recording again. |
| **Could not summarise the conversation:** and a reason | The summary step failed. The transcript has already been saved as a document. |

When the summary step does not finish, the meeting is not added to the **Meetings** list. Your notes are saved in every case.

## Open a meeting's record

1. In the side menu, under **Apps**, click **Meet** in the **PlexiiApps** group.
2. Click a meeting in the **Meetings** list. See [PlexiiMeet: meetings](https://plexiidesk.com/help/meet-overview) to search them.

The record opens beside the list.

### The header

- **The title.** Click it and type to rename the meeting.
- **The status**: **Transcribed** for a recorded meeting, **Transcript pasted** when you pasted one in, or **Notes only**.
- **The date and length**, and the speakers as coloured initials with how many there were.
- **Desk** opens the meeting's desk, when it has one.
- **Export** saves the record as a file. See [Export a record](#export-a-record).
- **The bin** deletes the meeting. See [Delete a meeting](#delete-a-meeting).

### The timeline

**Timeline** shows who was talking when, as a coloured band for each speaker. Click anywhere on it to move through the call: the transcript jumps to that moment. Click a speaker's name to show only their lines in the transcript.

Small diamonds under the timeline mark moments: a filled one for a line the record quotes, an outlined one for an action item. Click one to go to that line.

### The transcript

**Transcript**, on the right, is always on screen.

- **Search the transcript** finds words and highlights them. Press `/` to jump to the search box.
- **All speakers**, and a button for each speaker, show everyone or one person.
- **The time** on each line moves the timeline to it.
- **A chip under a line**, **In Brief ·** and a section name or **Action item**, opens the entry that line supports.

Lines the transcription was less sure of are shown fainter. Rest the pointer on a line to see how confident it was.

### The record: Overview, Action items and Analytics

**Record** has three tabs. Press `1`, `2` or `3` to switch between them when you are not typing.

**Overview** (`1`)

- **Summary** is the meeting's summary. Click it to edit it, or write your own.
- **Brief as** rebuilds the record under a different set of sections: **Decisions & Actions**, **Client Call**, **1:1** or **Interview**. Rest the pointer on one to see its sections. Your own notes are never changed.
- **Your notes** come first, word for word.
- **The sections** follow, such as **What happened**, **Decisions** and **Open questions**. A line with a time beside it was heard in the meeting: click it to jump to that moment. A fainter line marked **inferred** is Plexii's reading, with no line in the transcript behind it.
- **Plain transcript text** shows the transcript as plain text you can edit. For a meeting without a recording, paste a transcript here.

**Action items** (`2`, open by default)

- **Carried from last time**, for a meeting in a series.
- **Find commitments** reads the transcript and shows the same confirm card as the wrap-up. Use it for a meeting whose commitments you have not filed yet.
- **In Attention** lists what was filed from this meeting. Click the circle to mark one complete, everywhere in PlexiDesk. Click its time, for example **4:12 in transcript**, to go to the moment.
- **From the summary** lists action items the summary named that are not filed yet. Click **Attention** to send one to your Attention queue, pointing back at this meeting, or **Desk** to make a desk for it.

**Analytics** (`3`)

- **Duration**, **Speaker changes**, **Questions asked** and **Lines**.
- **Who spoke**: each person's share of the conversation, as a percentage and a time. Click a name to read only their lines.
- **Moments**: every place the record and your action items point into the call. Click one to open the line.

Analytics need a recorded transcript, so they stay empty for a meeting added from notes.

## Series briefs

A meeting in a repeating series has two settings under its record:

- **Brief me after each meeting in this series** adds the meeting brief to your Attention queue after each meeting. Turn it off for a series whose briefs you do not need.
- **Send the brief to the other attendees too** sends the brief to the other people in the meeting as a chat message. It is off until you turn it on.

## Export a record

1. In the record's header, click **Export**.
2. Choose **Markdown (.md) — readable, provenance kept** or **JSON — the full record, segments and audio manifest**.
3. Choose where to save the file and click **Save**.

The line **Exported to** and the file's location appears under the record. The Markdown file holds your notes, the commitments, the brief with each heard line's time and each inferred line marked, and the transcript with times and speakers.

## Keep, re-transcribe or delete the audio

When a meeting's audio is still on this computer, a line under the record says how many audio tracks there are and how much space they take, ending **never uploaded**.

- **Keep** holds on to this meeting's audio for good. It then reads **Kept**. Click it again to go back to your usual setting.
- **Reveal** shows the audio files on your computer.
- **Re-transcribe** runs the saved audio through transcription again, on this computer. The transcript and summary are rewritten.

How long audio is kept is set under **RECORDING**, below the **Meetings** list, in **Keep meeting audio**: **never (discard at wrap-up)**, **7 days**, **30 days**, **90 days** or **forever**. It starts at 30 days. Audio older than that is removed when PlexiDesk starts. See [Recording, consent and transcripts](https://plexiidesk.com/help/meet-recording-and-consent).

## Delete a meeting

Click the bin at the top right of the record. The meeting is deleted straight away, with its transcript and its audio. The documents and the desk made at the wrap-up stay where they are, and a Meeting Record widget for it then says the meeting is gone.

## Tips

- **File commitments while the meeting is fresh.** The confirm card is quickest right after the meeting, when you still remember who said what.
- **Check the quiet lines.** An **inferred** line or a commitment with no transcript anchor is Plexii's reading. Click through to the transcript before you rely on it.
- **Try another brief.** If the sections do not fit the meeting, use **Brief as** to rebuild it as a **Client Call** or a **1:1**.
- **Keep the audio of meetings you will want to replay.** Click **Keep** on that meeting, rather than keeping every meeting's audio forever.

## Common questions

**Where is the transcript?** In three places: the **Transcript** pane of the record, a document in the meeting's folder in Files, and on the meeting's desk.

**I closed the wrap-up before filing the commitments.** Open the meeting, go to **Action items** and click **Find commitments**.

**Can I change the summary?** Yes. Click it in **Overview** and edit it. Your change is saved when you click away.

**Does the audio leave my computer?** The audio is transcribed on this computer and stays on it for as long as **Keep meeting audio** says. The summary, record and commitments are written by AI from the transcript.

**Why did the meeting get a desk of its own?** So its record, transcript and filed commitments sit together. To use one of your own desks instead, attach it when you start **Record notes**. See [Record notes or a meeting held elsewhere](https://plexiidesk.com/help/meet-record-notes-and-external).
