# Create and organise rooms

> Make a room to keep related desks together, rename it, turn it into a plan, and use every action on a room's card.

A room holds the desks that belong together. Use one for each project, client or part of your life, so its desks are in one place and you can share them all at once.

## Before you start

- **The Free plan allows three rooms** at the top level of a workspace. Archived rooms and plans count towards the three; rooms in Trash do not. Desks are not limited on any plan.
- **Pro and Team allow as many rooms as you like.** If you try to make a fourth room on the Free plan, PlexiDesk offers an upgrade instead of creating it. See [What each plan includes](https://plexiidesk.com/help).

## Create a room

There are three ways to make a room. Pick whichever matches what you are doing.

### From All rooms

1. In the side menu, click **Rooms**. **All rooms** opens.
2. Click **New room** at the top right.
3. PlexiDesk creates a room called "New room" and opens its desk list.
4. Click **New desk** to add the first desk. It is filed in the new room.
5. To give the room a proper name, click **All rooms** at the top to go back, then rename it as described below.

### From a desk you are working on

Use this when you already have a desk and want a room for it.

1. Click the desk's name in the header to open the desk menu.
2. Click **Move to a room…**.
3. Click **New room from this desk**.

PlexiDesk creates a room called "New Room" and moves the desk into it. Rename the room from **All rooms** when you are ready.

### While you create a desk

In the **New Desk** window, click the **Room** box, then **+ Create new Room…** at the bottom of the list, and type the room's name in **New Room name**. The room and the desk are created together. See [Create a desk](https://plexiidesk.com/help/desk-create).

## Rename a room

1. In the side menu, click **Rooms**.
2. Point at the room's card and click the pencil, or right-click the card and choose **Rename room**.
3. Type the new name under **Room name** and click **Rename**.

## Turn a room into a plan

A plan is a room that also appears on the Plans timeline, for schedules and milestones.

1. In **All rooms**, point at the room's card and click **Make this a plan**, or right-click the card and choose it.
2. The card now says **Plan**. Opening it shows its plan dashboard instead of its list of desks.

To turn it back into an ordinary room, choose **Remove from Plans** in the same place. Its desks stay in it either way. See [Plans: timelines for your rooms](https://plexiidesk.com/help).

## Everything you can do with a room

Point at a room in Gallery or List view and a row of small icons appears on it; rest the pointer on an icon to see what it does. Right-click a card in any view to see the same actions with their names, plus **Archive room** and **Move to Trash**.



| Action | What it does |
| --- | --- |
| **Share with team or group** | Appears in your Personal workspace when you also belong to a team organisation. Moves the room and its desks into that organisation, for everyone in it, one group or one person. See [Share with your team or a group](https://plexiidesk.com/help). |
| **Create public link** | Makes a link that anyone can use to view the room. See [Sharing and invites](https://plexiidesk.com/help/sharing-and-invites). |
| **Chat about this room** | Opens a chat conversation that belongs to this room. You need to be signed in. See [Chat about a desk, room or document](https://plexiidesk.com/help). |
| **Rename room** | Gives the room a new name. |
| **Make this a plan** or **Remove from Plans** | Adds the room to the Plans timeline, or takes it off. |
| **Open room** or **Open plan** | Opens the room's list of desks, or the plan's dashboard. Clicking the card does the same. |
| **Archive room** | Hides the room from **All rooms** without deleting it. Right-click only. |
| **Move to Trash** | Moves the room to Trash, and its desks go with it. Right-click only. |

## Common questions

### Why can't I create another room?

On the Free plan you can have three rooms at the top level. Archived rooms still count. A room in Trash does not, so moving a room you no longer need to Trash frees a place, though its desks go with it. Or upgrade to Pro for unlimited rooms. ### Does every desk need a room?

No. A desk can stay at the top level, and you can move it into a room whenever you like. See [Rename a desk and move it to a room](https://plexiidesk.com/help/desk-rename-move).

### Where are a plan's desks?

Still in the plan. Opening a plan shows its dashboard, and you can always find its desks in **All desks**: set **Group** to **Room**. See [Browse All rooms and All desks](https://plexiidesk.com/help/rooms-desks-index).
