# Rooms and desks shared with you

> See the rooms, desks and widgets people share with you, keep your own copy in your workspace, and add a share from a link someone sent you.

When someone shares a room or desk with you, it reaches you in one of two ways:

- **A copy sent to you.** Someone sends you a room, desk or widget by email or as a link. It waits on the **Shared** page until you add it to your workspace, and the copy you add is yours to change.
- **A desk you work on together.** Someone shares a desk with you by name so you can both work on it. It appears straight in your workspace, and changes sync both ways as you each make them.

Receiving shares works on every plan. To receive shares sent to your account, sign in to PlexiDesk. See [Create an account and sign in](https://plexiidesk.com/help).

## Open the Shared page

In the side menu, under **Rooms**, click **Shared**. If you cannot see it, click the arrow beside **Rooms** to open the group. When the side menu is minimised to a column of icons, click **Shared Desks**.

The number beside **Shared** is how many items are waiting for you on the page.

The page is titled **Shared with me** and shows a card for each room, desk or widget people have sent you.



If nothing has been shared with you yet, the page says so.

## What each card shows

- **Its name**, under a large icon for a room, a desk or a widget.
- **What it is**: **Shared room**, **Shared desk** or **Shared widget**.
- **Who it is from**, after the word **from**. Shares carry a short two-word name, such as gentle-otter, rather than the sender's account name, so if you are not sure who sent something, ask the person you were expecting it from.
- **What you can do with it**: **can copy** means you can add your own copy to your workspace; **view only** means you cannot.

## Add a copy to your workspace

1. Open **Shared**.
2. On a card marked **can copy**, click **Add to my workspace**.

PlexiDesk makes your own copy and opens it. The card leaves the Shared page, and the copy lives in a room called **Shared with me** in **All rooms**.

- A shared room arrives with its desks and their widgets.
- A shared desk arrives with its widgets.
- A shared widget arrives on a desk of its own, named after the widget.

The copy is yours. You can edit it, rename it, move it to another room, archive it or move it to Trash, like anything else you made. It is not linked to the original: your changes do not reach the person who sent it, and later changes on their side do not reach you. > **Note:**
> On the Free plan, the **Shared with me** room counts as one of your three rooms. If you already have three rooms and do not have a **Shared with me** room yet, PlexiDesk asks you to upgrade before it can add the copy. To make space instead, move a room you no longer need to Trash. See [What each plan includes](https://plexiidesk.com/help).

## Items marked view only

A **view only** card has no **Add to my workspace** button, because the person who shared it chose not to let people add a copy. To look at it, open it in your web browser from the link in the email you received, or from the link they sent you. If you need your own copy, ask them to share it again with **Let them add it to their own workspace** turned on. ## Remove an item from the list

1. Point at the card.
2. Click the **×** at the right of the card. Its tooltip says **Remove from Shared with me**.

The card leaves your list. Nothing changes for the person who shared it.

## Add a share from a link

If someone sends you a share link, for example in a message, rather than sharing to your account, you can add it yourself:

1. Copy the whole link.
2. Open **Shared** and click **Paste a share link** at the top right.
3. Paste the link and click **Add share**.

The room, desk or widget appears as a card on the page. Add it to your workspace as above.

If the link is not a share link, the page says **That does not look like a PlexiDesk share link.** Check that you copied all of it. If the link still cannot be added, a short message under the page title says why. Share links can be made to expire, so if it has stopped working, ask the sender for a new one.

## When shares arrive

- **Sent to your email address.** When someone sends a share to the email address you use for PlexiDesk, it is added to your **Shared with me**, and you get an email saying who shared it.
- **While PlexiDesk is open.** As long as you are signed in, new shares appear within about half a minute.
- **While PlexiDesk is closed.** Shares wait for you, and are there the next time you open PlexiDesk signed in.
- **From the notification email.** Opening the share from the **Open in PlexiDesk** link in the email adds it to **Shared with me** too.

## Desks you work on together

When someone shares a desk or room with you as one of **Specific people**, you both work on the same desk, and changes sync both ways. It appears in your workspace without any action from you:

- Inside a room called **Shared with me**, which you will find in **All rooms**.
- In **All rooms** and **All desks**, with a small round badge showing the first letter of the sharer's name. Rest the pointer on the badge to see **Shared by** and their name.

Right-click it in **All rooms** or **All desks** for what you can do:

- **Archive for me** hides it from your lists only. The others still see it. **Unarchive for me** brings it back.
- **Leave share** removes it from your workspace. The other people keep it, and any Attention items of yours on it move to your Attention page. PlexiDesk asks you to confirm first.

A shared desk cannot be moved to Trash, because it belongs to more than one person; the menu explains this with a greyed-out line. See [Archive, trash and restore rooms and desks](https://plexiidesk.com/help/desk-archive-trash).

## Common questions

**Someone says they shared something, but it is not there. What should I check?**
Make sure you are signed in with the account for the email address they sent it to, and wait half a minute. If it still has not arrived, ask them for the share link and add it with **Paste a share link**.

**What is the difference between the Shared page and the Shared with me room?**
The **Shared** page, titled **Shared with me**, lists what has been sent to you and is waiting. The **Shared with me** room in **All rooms** holds the copies you have added and the desks people share with you to work on together.

**Does removing a card tell the person who shared it?**
No. Removing a card only changes your own list.

**Can I keep a copy somewhere other than the Shared with me room?**
Yes. After you add it, move it to any room. See [Rename a desk and move it to a room](https://plexiidesk.com/help/desk-rename-move).
