Project handover desk: hand over the work itself, not a document about it
the handover is the desk — the next person opens one place with the state of play, every open task with an owner and a date, the people to know and the files — plus a Resume note Plexii writes from the desk itself. Distinct from project handover (the checklist and why): this page is the set-up and the hand-off steps.
What goes on the desk
- Card ‘Start here’ (what this is, where it stands, the first thing to do)
- Page ‘Handover note’ (purpose, status, decisions and why, open questions, risks, key dates)
- Tasks with assignee, start and due dates and what each waits for (widget tasks planning)
- Contacts for the people the work is about (widget contacts)
- Drive (folder) pinned to the project folder (widget drive)
- File or link widgets for the two or three documents that matter (widget file or link)
- Calendar for deadlines (in beta, widget calendar).
Set it up
create the desk (desk create) or start from the Project Hub starter (desk templates); fill the widgets; click Resume, then Generate resume, for the handoff note (desk resume); share the desk with the person taking over as Can edit (share desk with people); desk History lets either of you go back to an earlier state (desk history).
- Create a desk named for the real outcome, client or deadline.
- Add the suggested widgets and rename each one for the job it performs.
- Bring in the existing files or tables before inventing another copy of the information.
- Set a due date, add the first visible next action, then save the arrangement as a template if you will repeat it.
Use it day to day
read the Card and the Resume note, then work through Tasks; regenerate Resume before handing back.
A useful desk should reduce copying. Keep each changing fact in one widget, and let charts, summaries or views read from that source.
A worked starting point
Fictional example. Create the desk, add three real items that are already in motion, then use one full work cycle before changing the layout. At the end, remove anything you did not consult and add only the object that would have prevented a real interruption.
Where Plexii helps
the Resume note (where you are, key decisions, open questions, next 3 actions, under 250 words); Plexii answers questions such as what was decided about X from the desk, with sources (ai assistant).
