Calendar widget

A month on your desk, marked with this desk's due dates, booked time and events from calendars you subscribe to. Filter it and edit a day in place.

The Calendar widget puts a month on your desk. Every mark on it comes from something real: a due date on this desk, time you have booked, or an event from a calendar you subscribe to. A month with nothing in it stays empty.

Use it to see when a piece of work's deadlines fall, how much time you have booked for it, and what else is in your diary around it.

Before you start

  • The Calendar widget is included on every plan. It is in beta.
  • It shows this desk's due dates to begin with. Due dates come from the desk itself and from its tasks; see Tasks widget.
  • Booked time comes from Calendar. See Book time and meetings on the calendar Coming soon.
  • Events from other calendars appear once you have connected or subscribed to them in Calendar. See Add a Google or Outlook calendar with a link Coming soon and Sign in to Google or Microsoft calendars Coming soon.

Add the Calendar widget

  1. Open the desk.
  2. Click Add widget in the middle of the header.
  3. Click Calendar.

Calendar is in the Plan & track column of the Add widget menu. You can also type "calendar" in Search widgets… and press Enter.

You can also press ⌘ K (Ctrl K on Windows) and choose Add Calendar.

Read the month

  • The top bar shows the month and year, with Previous month and Next month arrows either side. Today jumps back to this month and selects today.
  • Under it, one line describes what the calendar is showing, such as This desk or Everything. Click it to change the filter.
  • The grid runs Monday to Sunday, six weeks at a time. Days from the months either side are dimmed, and today's date is filled in.
  • A green dot under a date means something is due that day.
  • Coloured dots (up to three) mean booked time or subscribed events, in the colours of the calendars they belong to.

The widget remembers the month you were looking at.

See what is on a day

  1. Click a day. It is outlined, and the list under the grid shows what falls on it:
    • Booked time, with its start time, name and length in minutes.
    • Subscribed events, with their time (or "all day") and name.
    • Due tasks, marked "due". Finished tasks are struck through.
  2. If nothing falls on that day, the list says Nothing scheduled.

Rest the pointer on a busy day to see how many things are on it.

Open a day

To see and change a day's entries, open the day:

  1. Double-click the day, click Open day beside the date in the list, or click any entry in the list.
  2. A window opens with the full date and the number of entries. Each entry has a coloured dot: green for a task, violet for booked time and blue for a subscribed event.
  3. Click an entry to open it. If the day has only one entry, it is already open.

What you can do depends on the entry:

  • A task. Change its name, its Due date, its Status (open, in progress, parked or done) and Who it is assigned to. Open the desk this is on → takes you to the desk the task belongs to.
  • Booked time. Change its name, when it Starts and how long it lasts (For, in minutes, in steps of 5).
  • A subscribed event. See its time, location, organiser and description. It belongs to another calendar, so you cannot change it here. If it has a link, Open in its own calendar → opens it where it lives.

Changes are saved as you make them, and the grid updates straight away. To close the window, click the cross, press Esc or click outside it.

Choose what the calendar shows

  1. Click the sliders button at the right of the top bar (Filter criteria), or click the line under the top bar.
  2. Set any of these. The calendar updates as you go.
    • This desk or Everywhere. This desk shows the desk's own due date, its tasks' due dates and time booked for those tasks. Everywhere shows every due date and all your booked time.
    • Due dates, Time blocks and Subscribed: tick the kinds of entry to show.
    • About…: show only entries whose names contain one of these words. Separate words with commas; a comma means "or".
    • But not…: hide entries whose names contain any of these words, even if they matched About….
    • Tasks: open only, done only or any status. This applies to due dates only.
    • For: show only the due dates of tasks assigned to these people. Type part of a name; separate several with commas. Leave it empty for anyone. Booked time and events are not affected.
  3. Click Done.

The line under the top bar now sums up your filter, for example This desk · open only. It says Everything when the calendar shows everything there is.

Subscribed events come from your calendars rather than from a desk, so they show under both This desk and Everywhere. Untick Subscribed to hide them.

AI and the Calendar widget

The AI button on the widget's title bar opens the Plexii panel with this widget attached, so you can ask Plexii about it. The Calendar widget has no AI of its own. See Use a widget's AI button.

Sharing

If you share the desk as a live view that people can watch, the Calendar widget appears there as a placeholder, so the people watching do not see your dates or events. See Publish a live view of a desk.

Good uses

  • A project's deadlines. Keep This desk and untick Subscribed to see only this project's due dates and booked time.
  • The week around a deadline. Leave Subscribed on to see your meetings next to the work that is due.
  • One thread of work. Type a word in About…, such as "invoice", to see only the entries about it.
  • One person's load. Type their name in For to see the tasks assigned to them.

Common questions

My meetings don't show

Open the filter and check that Subscribed is ticked. Then check that the calendar is connected or subscribed in Calendar. See Sign in to Google or Microsoft calendars Coming soon and Add a Google or Outlook calendar with a link Coming soon.

Time I booked doesn't show on this desk

With This desk, booked time shows only when it was booked for one of this desk's tasks. Switch the filter to Everywhere to see all your booked time.

It says "Time blocks need the desktop app"

Booked time is shown in the PlexiDesk desktop app. When you open a shared desk in a browser, the calendar shows due dates only.

Can I book time from the widget?

Not from the widget itself. Book time in Calendar and it appears here. See Book time and meetings on the calendar Coming soon. Once it is there, you can move it or change its length by opening the day.

Why can't I change a meeting?

Events from subscribed calendars belong to those calendars. Change them there, using Open in its own calendar → when the event has a link.
