Plexii glossary

Meeting minutes

A concise record of a meeting’s decisions, actions and essential context rather than a word-for-word transcript.

What it means

Minutes are the record of decisions and actions, not a transcript: minutes vs notes vs transcript, what to include, who takes and approves them . A simple structure people can copy.

The term is most useful as a shared description. It does not remove the need to look at the actual task, evidence or constraint in front of you.

A practical example

The record captures the decision, two actions, owners and dates without reproducing every comment made in the room.

Put it into practice

  1. Name the concrete situation before applying the label. Meeting minutes is useful only when it changes a choice, boundary or next action.
  2. Make the state visible: write the owner, time, source or stopping condition down instead of relying on memory.
  3. Review what happened. Keep the part that reduced ambiguity and change the part that added ceremony without helping the work.
