Filter Attention: due today, overdue, waiting and more

Narrow Attention with the six side-menu filters, the Analytics tiles and your tags, and read the Breakdown of each queue.

All plansUpdated

Attention can hold a lot. Filters narrow it to what you want to look at right now: what is due today, what is overdue, what you are waiting on, or everything with one tag. There are three kinds, and you can combine them:

  • Side-menu filters open Attention already narrowed to one state, such as Overdue or Waiting.
  • Analytics tiles at the top of the Attention page show counts and narrow the list when you press one.
  • Tags narrow the list to one tag at a time.

Before you start

Use a side-menu filter

  1. In the side menu, under Desk, click the small arrow at the right of the Attention row. Its tooltip says Show the Attention filters.
  2. Six filters open beneath it. Click one. Attention opens with that filter applied, and the filter's row is highlighted in the side menu.
  3. To go back to everything, click Attention itself.

Click the arrow again to hide the filters. Each filter shows:

Filter What it shows
Open Every open item. Closed items, items snoozed until later and items whose desk was removed are left out.
Due today Open items due today, by the date where you are, plus every item that is already overdue.
Overdue Open items whose due time has passed.
In progress Open items whose status is In progress.
Waiting Open items where the next move is someone else's: Waiting, Blocked, Delegated, In review or Needs approval.
Closed 7d Items closed in the last seven days.

The side-menu filter narrows the list, the queue tabs' counts and the Tags row. While it is on, the Recently closed, Archived and Detached sections are hidden, because the filter leaves their items out. The Analytics tiles above the list keep counting everything.

Use the Analytics tiles

The Analytics block at the top of the Attention page has six tiles, each with a count. Rest the pointer on a tile to see what it will show, such as Show only overdue.

  1. Press a tile. The list narrows to those items, and a line above the list says what it is showing, such as Showing overdue items only.
  2. To clear it, press the same tile again, or click Clear beside that line.

Only one tile is active at a time. The tiles count:

Tile What it counts
Open Every open item, including snoozed ones. Under the count, 12 new this week (for example) says how many items arrived in the last seven days.
Due today Open items due between now and the end of today. Items already overdue are not included here.
Overdue Open items whose due time has passed.
In progress Open items that are In progress, Delegated, In review or Needs approval.
Waiting Open items that are Waiting or Blocked.
Closed · 7d Items closed in the last seven days. Under the count, +3 vs prior week (for example) compares with the week before. Pressing it opens Recently closed instead of narrowing the list.

Dismissed and archived items do not count as closed.

Under the tiles, once you have closed something in the last two weeks, a small bar chart labelled closed · 14d shows how many items you closed each day, oldest on the left. Rest the pointer on it to read the numbers.

Beside it, up to two short lines point out a trend when there is one worth saying, for example You've closed something 3 days in a row., or how long the oldest untouched item has been waiting.

Breakdown

Click Breakdown at the top right of the Analytics block to see each queue on its own line. Click it again to hide it.

Each line has a bar and a count of open items. The bar is split into four colours:

  • green: closed in the last seven days
  • blue: in progress, delegated, in review or awaiting approval
  • amber: waiting or blocked
  • grey: not started

Under each bar, the same numbers are written out, for example 2 done · 1 in progress · 0 waiting · 4 not started. Queues with no items are left out. Until you have items, it says Numbers appear as items do.

Filter by tag

Once your items have tags, a Tags row appears above the list with your ten most used tags and how many items carry each.

  1. Click a tag. The list shows only items with that tag, and the tag is highlighted.
  2. To clear it, click the tag again, or click Clear at the end of the row.

You can also click a tag on any item's row to filter by it. One tag at a time is shown. To add tags to an item, see Check and file a captured item or Close, snooze, archive and edit an item.

Combine filters

The filters stack. For example, open the Waiting filter from the side menu, then click the launch tag, to see only launch items you are waiting on. A queue tab, such as Respond, narrows it further. See Queues, closing verbs and grouping.

When the combination leaves nothing, the page says Nothing needs you. Clear the tag, the tile and the side-menu filter one at a time to find your items again.

Common questions

The Overdue tile says 3 but the Due today tile says 0. The Due today tile counts only items still due later today. Overdue items are counted on their own tile. The Due today filter in the side menu shows both.

The Open tile says 10 but I can only see 8 items. The tile counts snoozed items too. Snoozed items stay out of the list until their snooze ends.

How do I know a side-menu filter is on? Its row is highlighted in the side menu, under Attention. Click Attention itself to see everything again.

Where do Waiting items come from? From the status you give an item: set it to Waiting, Blocked or Delegated from its status pill. See Close, snooze, archive and edit an item.

Do filters change my items? No. They only change what you see. Your items, their queues and their dates stay as they are.
