Build your knowledge base in Ask Brain
Ask Brain is your workspace's knowledge base. Write, tag and pin entries, add files and folders, and Plexii grounds its answers in what is there.
Ask Brain is your workspace's shared memory: short written entries about how things work, what was decided and what everyone should know. People write them, and Plexii reads them whenever it answers a question, so an answer about your refund policy comes from your refund policy rather than a guess.
Ask Brain also holds two more things: files and folders you add for Plexii to read, and what Plexii remembers about you.
Before you start
- Every plan includes Ask Brain.
- Knowledge belongs to the organisation you are working in. Switch organisation and you see that organisation's knowledge.
Open Ask Brain
Open the Brain area and choose Ask Brain. The page is headed PlexiBrain, with the line Your company's shared memory. People and AI read from it.
On the left are a search box, the New button, Add files & folders, What the assistant knows about you, and the list of entries. On the right is the entry you have open.
Add a knowledge entry
- Click New (New knowledge entry). A new entry called New entry opens on the right.
- Click the title and type a name for it, such as "Refund policy".
- Click Add tag…, type a tag and press Enter. Add as many tags as you like.
- Click in the large box, which reads Write what should be remembered. The AI will ground its answers in this., and write the entry.
Changes are saved when you click away from the title or the text.
Tags
Tags group related entries. Entries that share a tag are linked on the Brain Map. See See your knowledge as a map.
To remove a tag, click the cross on it.
Pin an entry
Click the pin at the top left of an open entry (Pin to top and surface first to the AI). A pinned entry shows a pin and stays at the top of the list. Click the pin again (Unpin) to unpin it.
Delete an entry
Open the entry and click the bin at the top right (Delete entry).
Find an entry
Type in Search knowledge at the top of the list. The list narrows as you type. Click an entry to open it.
Search finds entries by their words, and with semantic search set up, by meaning too. See Add your own API keys and Enrich documents with a local AI model.
Add files and folders
Under Add files & folders:
- Click Files to choose several files at once.
- Click Folder to add a whole folder, with its subfolders.
The files are added to your Files, so you can also put them on desks, and indexed so Plexii can read them. A line underneath says what happened, for example Added 12 files to the Brain — 40 indexed for AI. The second number counts every file in your workspace that Plexii can read, not only the new ones. If you cancel, it says Nothing added.
Your workspace in the Brain
Brain also brings in your desks, documents, notes and files as entries, tagged by what they are and, for notes, by the desk they are on. This is what lets Search and the Brain Map cover everything you have, not only what someone typed here.
These entries are kept in step with the originals:
- They are refreshed when you open the Brain Map, when you add files or a folder here, when you import a folder into Files, and when you run Sync workspace to Brain from the command palette (⌘ K on a Mac, Ctrl K on Windows).
- When you delete the original, its entry goes at the next refresh.
- To change one, change the original desk, document, note or file. Edits made to the entry here are replaced at the next refresh, although a pin stays.
Save knowledge from a conversation
When something worth keeping comes up while you talk to Plexii, such as a decision, a rule or a process, Plexii can offer an Add to PlexiBrain card. Apply it and the entry is created in Ask Brain. You can also ask: "save that as a knowledge entry". See Review and apply Plexii's changes.
What the assistant knows about you
Under the add buttons, What the assistant knows about you lists what Plexii remembers about you personally: your open commitments, standing preferences and facts. See What Plexii remembers about you.
Tips
- One topic per entry. "Refund policy" and "Shipping times" as two entries are easier to find and update than one long "Policies" entry.
- Pin the essentials. Pin the handful of entries people need most, such as your tone of voice or your pricing, so they sit at the top of the list.
- Tag consistently. Reusing the same tags, such as "sales" or "onboarding", keeps the Brain Map in tidy clusters.
Common questions
My edit to an entry disappeared. It was an entry Brain brought in from your workspace, such as a document or a note. Edit the original instead, and the entry follows.
I deleted an entry but it came back. It belongs to a desk, document, note or file that still exists. Delete the original to remove it.
Does Plexii read everything here? Plexii searches Ask Brain when it looks for an answer, along with the rest of your workspace, and uses the entries that match the question. See What Plexii can read and search.
I can't find an entry I wrote. Check that you are in the right organisation: each organisation has its own knowledge. Then try other words in Search knowledge.
