Start a meeting from a desk, document or chat
Start a meeting about the desk, file or conversation in front of you, and choose what access the people you invite get to it during and after.
You can start a meeting from the thing you are working on: a desk, a document, a spreadsheet, a presentation, a diagram, a design, a drawing or a chat conversation. You go straight into a PlexiiMeet room, without opening PlexiiMeet first.
When you start from a desk or a file, you can also give the people you invite access to it at the same time: to look at it during the meeting, to keep looking at it afterwards, or to work on it together while you talk. You choose what happens to that access when the meeting ends.
Before you start
- Sign in. Meetings and sharing need you to be signed in. See Create an account and sign in.
- Plans. Starting a meeting from a desk, document or chat is part of every plan.
- Know who to invite. You add people by email address. To work on a file together, they need a PlexiDesk account. See Work together in real time.
Start a meeting from a desk
- Open the desk.
- In the quick actions in the header, click Meeting, the video camera. The Start a meeting window opens, showing the desk's name. See Desk quick actions in the header.
- Choose who to invite and what access they get. See Choose access for attendees.
- Click Start meeting.
Start a meeting from a file
- Open the file.
- Open the menu:
- In a document, spreadsheet, presentation, diagram or design, click Insert > Meeting.
- In a drawing, click Document > Meeting.
- The Start a meeting window opens, showing the file's name. Choose who to invite and what access they get.
- Click Start meeting.
See The editor header, saving and the File menu for where the menus are.
Choose access for attendees
The Start a meeting window reads From and the desk's or file's name, then Invite people and choose what access they get to it.
- Under Invite people (emails, optional), type the email addresses of the people to give access, separated by commas or spaces. Leave it empty to start the meeting on your own.
- Under Access for attendees, choose one:
| Choose | What they get |
|---|---|
| Allow view for this meeting | Read-only access that expires after the meeting. This is selected to start with. |
| Always allow view | Read-only access that does not expire. |
| Invite to collaborate | You work on it together during the meeting. |
- If you chose Invite to collaborate, choose under When the meeting ends:
- Make it read-only (selected to start with): they can still see it, but no longer change it.
- Keep collaborate access: they can keep working on it with you.
- Revoke access: they lose access altogether.
- Click Start meeting, or Cancel to close the window without starting.
The meeting room opens straight away, and you are in it. Access is given to each person in the background. It arrives in their PlexiDesk Inbox, and they are emailed a link to it. See Inbox: your notifications.
Working together during the meeting
With Invite to collaborate:
- A file becomes a live copy that everyone edits at the same time, you included. People with a PlexiDesk account are added to it. Anyone without an account gets their own copy they can work on instead. Your original file stays as it was. You and they find the live copy on the Collaborations page. See Work together in real time.
- A desk is shared with them to work on together, widgets and all.
When you leave the meeting, the access changes as you chose under When the meeting ends.
If PlexiDesk is in the background
When the access has been given, PlexiDesk tells you how it went in a Meeting started notification, if its window is not in front:
| The notification says | What it means |
|---|---|
| Shared and invited 3 people. | Everyone has access and was emailed. |
| Shared with 3 in their inbox; some emails could not be sent. | Everyone has access in PlexiDesk, but not everyone was emailed. |
| Shared with 2; could not reach and one or more addresses | Those addresses were not given access. Check them and share again. |
Start a meeting from a chat
- Open the conversation in Chat. See PlexiiChat: channels and messages.
- Click the video camera in the message box. Its tooltip reads Start a meeting.
The meeting room opens straight away, without the Start a meeting window, because a conversation has no file to share. Nobody is invited automatically: click Invite people inside the meeting to bring people in. To call one person directly instead, use Call in a direct message. See Video calls and knocking.
After the meeting
When a meeting you recorded ends, the wrap-up saves the transcript in a folder named after the meeting. For a meeting started from a desk, that folder is made inside the desk, so the notes stay with the work. See Meeting wrap-up and records.
Tips
- Review a document without handing it over. Choose Allow view for this meeting, so people can follow along while you talk and lose access afterwards.
- Draft together, then lock it. Choose Invite to collaborate with Make it read-only, so everyone can edit during the meeting and the result stands as it was when you finished.
- Start alone, invite as you go. Leave the emails empty, start the meeting, and bring teammates in from inside it.
Common questions
Do the people I list get a meeting invitation? They get access to the desk or file, in their Inbox and by email. To bring them into the room, use Invite people inside the meeting. To book a meeting with emailed join links, schedule it instead. See Start or schedule a meeting.
Why did my changes not appear in my original file? With Invite to collaborate, everyone works in the live copy. Find it on the Collaborations page.
Can I change someone's access after the meeting? Yes, the same way as anything else you share. See Sharing and invites.
What happens if I quit PlexiDesk before the meeting ends? The change you chose under When the meeting ends happens when you leave the meeting in PlexiDesk. If PlexiDesk closes first, the access stays as it was, and you can change it in sharing.
