Six views of every table

Show the same table as a grid, a list, cards, Kanban lanes, a month calendar or a Gantt timeline, and switch whenever you like without changing your data.

Every Table widget can show its rows in six ways: Table, List, Cards, Kanban, Calendar and Gantt. They are six views of the same rows. Switching changes how the rows look, never what they contain, so you can move between views as often as you like.

Before you start

  • You need a Table widget on a desk. To add one, click Add widget in the header and choose Numbers & data > Table, or press T on the desk. See Table widget.
  • Three views need a particular kind of column. Kanban needs a Single select column, Calendar needs a Date column and Gantt needs two Date columns. See Table columns and field types.
  • Views work the same on every plan.

Switch views

  1. Find the row of view buttons along the top of the table, just under its title bar.
  2. Click Table, List, Cards, Kanban, Calendar or Gantt.

The button for the current view is highlighted. The table remembers the view you chose, so it opens that way next time.

Which field is a row's title

List, Cards, Kanban, Calendar and Gantt show one field as each row's title. It is the first Short text column in the table, or the first column if the table has no Short text column.

To use a different column as the title, switch to the Table view and drag that column ahead of the other Short text columns. See Table columns and field types.

Table

The Table view is a grid with one row per record and one column per field. It is where you build the table itself.

  • Click a cell to edit it.
  • Click Add row at the bottom to add a row. To remove a row, click the bin at the start of the row (Delete row).
  • To move a row, point at it and drag the grip that appears at its start. Row dragging is available when no filter or grouping is on.
  • Add, rename, reorder and resize columns from the header row. See Table columns and field types.
  • Move between cells and copy blocks of cells with the keyboard. See Move around a table and copy cells.
  • Group arranges the rows of this view under headings. See Filter and group table rows.

List

The List view shows each row as one line. The row's title is at the top, and the other fields sit underneath it, each labelled with its column name.

  • Click any field to edit it in place.
  • To delete a row, point at it and click the bin (Delete row).
  • Click Add row at the bottom to add a row.

Cards

The Cards view shows each row as a card, with its title at the top and its other fields stacked below, each with its column name. Cards fill as many columns as fit the width of the widget, so widen the widget to see more side by side.

  • Click any field on a card to edit it.
  • To delete a row, point at its card and click the bin (Delete row).
  • Click the dashed + tile after the last card to add a row.

Kanban

The Kanban view turns a Single select column into lanes. Each option becomes a lane, in the same order as the column's options, and each row becomes a card in the lane that matches its value. Rows with no value sit in the Unassigned lane, which comes first. Each lane's heading shows the option's colour, its name and how many cards it holds.

Move a card to another lane

  1. Press and hold on a card.
  2. Drag it to another lane and let go.

The row's value changes to that lane's option. Dropping a card in Unassigned clears the value.

Add, edit and delete cards

  • Click Add at the foot of a lane to add a row. The new card starts in Unassigned, so drag it to the lane you want.
  • Click a card's title to edit it.
  • To delete a row, point at its card and click the bin (Delete row).

Choose which column makes the lanes

If the table has two or more Single select columns, a Lanes: box appears above the board. Choose the column you want.

If there is no Single select column

The view shows Kanban needs a single-select column. Add a Single select column and give it options such as To do, Doing and Done, and they appear as lanes. See Table columns and field types.

Calendar

The Calendar view shows one month at a time, Sunday to Saturday. Each row appears on the day in its Date column, labelled with the row's title, and today's date is highlighted.

  • A day shows up to three rows. If there are more, it says how many, for example +2 more.
  • Point at a label to see the row's full title.
  • Use the arrows beside the month name for Previous month and Next month, and click Today to come back to the current month.
  • If the table has two or more Date columns, choose the one to use from the Date: box at the top right.

To put something new on the calendar, give a row a date. Point at the top right corner of any day in the month and a + appears; click it to add a new row to the table, then set its date in the Table, List or Cards view.

If the table has no Date column, the view shows Calendar needs a date column.

Gantt

The Gantt view draws each row as a bar that runs from its start date to its end date. Months are marked along the top, row titles sit on the left, and each bar shows its length in days, such as 5d. Point at a bar to see its start and end dates.

  • Gantt uses the first two Date columns in the table as the start and the end.
  • If the table has three or more Date columns, choose them in the Start: and End: boxes at the top.
  • A row appears on the timeline once it has both dates. Until any row does, the view shows Add start + end dates to your rows to see them on the timeline.
  • To move or lengthen a bar, change the row's dates in the Table, List or Cards view.

If the table has fewer than two Date columns, the view shows Gantt needs two date columns. Add a second Date column, such as End, and fill it in.

Filters work in every view

Filters you set with Filter apply to all six views, and the count at the right of the bar shows how many rows are showing. Group arranges rows in the Table view only. See Filter and group table rows.

Common questions

Does switching views change my data?

No. Every view shows the same rows and columns. Edits you make in one view show in all the others.

Why is a row missing from Calendar or Gantt?

Calendar shows rows that have a date in the chosen Date column. Gantt shows rows that have both a start date and an end date. If a row has its dates, check the Filter button: a number on it means a filter is on and may be hiding the row.

Why does Kanban show every card in Unassigned?

The Single select column has no options yet, or the rows have no value in it. Add options to the column, then drag each card to its lane or choose its value in the Table view.

Can I pick which column is the title on cards?

Yes. The title is the first Short text column, so drag the column you want ahead of the others in the Table view.
