Privacy settings and what leaves your computer
Turn usage data on or off, and see what stays on your computer and what is sent when you sync, share, use mail or use AI.
PlexiDesk saves your work on your computer first. Some features need to send things elsewhere to work: sync sends your workspace to your account, sharing sends what you share to the people you choose, and AI sends your request to an AI provider.
This article covers the privacy switch in Settings, then goes feature by feature through what stays on your computer and what is sent, and where it goes.
Before you start
- Plan: available on every plan.
- The switch belongs to this computer. If you use PlexiDesk on more than one computer, set it on each one.
- Changes take effect straight away. There is no Save button.
Turn usage data on or off
Usage data is a summary of counts that shows how PlexiDesk is being used. It is on to start with.
- Click the gear at the right-hand end of the header. Its tooltip says Appearance settings, and it opens Settings.
- Click the Data tab.
- Scroll down to Privacy.
- Untick the box that starts Share anonymous usage data to stop sending usage data, or tick it to send it again.
When you untick the box, PlexiDesk stops sending usage data from this computer at once. You do not need to restart.
What usage data includes
Usage data is sent only while you are signed in. It is a summary of numbers from this computer:
- your PlexiDesk version, and whether the computer is a Mac or a Windows PC
- how many widgets you have, by kind, and how many rooms and desks
- how many focus sessions you have finished, and their total minutes
- how many AI requests you have made, and how much text they used
- whether you have finished the getting-started steps, and how many tours you have completed
It never includes the titles or contents of your desks, documents, messages or files. The PlexiDesk app has no third-party trackers or advertising trackers.
PlexiDesk sends the summary shortly after you sign in, and again from time to time while you use the app. It is kept with your account as one current summary, which each new one replaces.
What stays on your computer
Your work is saved on your computer first. If you stay signed out, nothing syncs and no usage data is sent.
These stay on your computer even while you are signed in:
- Your settings, such as appearance and AI settings. See AI settings.
- Your API keys. They are stored encrypted on this computer and used only to call the service they belong to. See Add your own API keys.
- Your Vault. It is encrypted on this computer and does not sync. See Store passwords in the Vault Coming soon.
- Your mail password. It is stored encrypted on this computer. See Connect your email account Coming soon.
- Your browsing history from browser widgets. It does not sync. When AI suggests a setup for a new desk, the request can include a few pages you visited recently, so its suggestions fit what you were doing.
- Work done by a local AI model. If you run a local model through Ollama, it runs on this computer. See Enrich documents with a local AI model Coming soon.
What leaves your computer, and where it goes

Read the Terms of Use and the Privacy Policy
- In the app: click Terms of Use on the right of the footer. The terms open in a window. Click Close, or press Esc, when you are done.
- On the website: read the Privacy Policy and the Terms.
Tips
- Want AI requests to go straight to Anthropic? Add your own Anthropic key and choose Your own key in AI settings.
- Want documents kept only on this computer? Turn off Documents sync on the same Data tab. See Sync your work across devices.

Common questions
Does usage data include what I write? No. It is numbers only, such as how many widgets you have. It never includes the titles or contents of your desks, documents, messages or files.
Is usage data sent when I am signed out? No. It is sent only while you are signed in, and only while the box is ticked.
Is my synced work encrypted? Your work is encrypted in transit between your computer and PlexiDesk. Sync is not end-to-end encrypted. The Privacy Policy has the details.
Can I keep everything on my computer? Yes. Stay signed out and your work saves only on this computer, with no sync and no usage data. Features that connect to an outside service still do so when you use them: Mail talks to your mail provider, browser widgets load websites, and AI sends your request to the AI provider unless you use a local model.
I turned usage data off on one computer. Is it off everywhere? No. The box is for the computer you change it on. Untick it on each computer you use.
