Suggested tidy-up for your inbox

Plexii reads your latest mail and proposes what to file, unsubscribe from or move to Trash or Junk. You review every row, and nothing moves until you press it.

Pro and Team plansUpdated

Suggested tidy-up asks Plexii to read your latest mail and propose what to do with each message: file it into a category, unsubscribe, move it to Trash or Junk, or leave it in the inbox. Each proposal comes with a short reason, so you can check it at a glance.

Nothing happens until you press a button. You can apply one row at a time, file a whole group at once, or skip anything you disagree with.

Use it when the inbox has filled up with receipts, notifications and newsletters, and you want them out of the way without sorting each one yourself.

Before you start

  • Plans. Suggested tidy-up is part of the Pro and Team plans.
  • Add your own Anthropic key. Suggested tidy-up uses your own Anthropic key, even when you are signed in and the rest of PlexiDesk runs on credits. See Add your own API keys.
  • Connect your mailbox. See Connect your email account.

Get a tidy-up

  1. In the side menu, open Apps and click Mail under Tools.
  2. Click Suggest a tidy-up (the sparkle at the top of the message list). Its tooltip reads Suggest a tidy-up — proposes, does not act.
  3. Suggested tidy-up opens over the list and says Reading your inbox… while Plexii works.
  4. When it is ready, the top says how many suggestions there are to review, for example 24 suggestions to review.

Plexii reads your newest messages, up to 60 at a time. It looks at the sender, the subject, the date, whether you have read the message, and whether the sender offers a way to unsubscribe. It does not read the text of the messages.

What you will see

The suggestions are grouped in the order you would work through them. Click a group's name to open or close it. File into categories and Unsubscribe start open; the others start closed, so you look at them on purpose.

Group What applying it does
File into categories Moves the message into a category, which is a folder in your mailbox on the mail server. Where the category does not exist yet, it is marked (new category) and made when you file.
Unsubscribe Opens the sender's own unsubscribe page in your web browser. The group note reads Opens the opt-out the sender published. Only shown where they published one.
Move to Trash Moves the message to your mailbox's Trash. The group note reads Moved to Trash, not erased — you can get these back.
Move to Junk Moves the message to your mailbox's Junk folder and marks it as junk. The group note reads Moved to Junk and flagged. This teaches your own mail server; it does not report the sender to anyone.
Leave in the inbox Nothing. These are the messages Plexii thinks need you, listed so you can see what it considered.

Each row shows the message's subject, its sender and Plexii's reason. A row to file also shows where it would go, for example → Receipts. An unsubscribe row shows where it leads, for example Opens and the web address.

Apply the suggestions

  • One row at a time. Click the button on the row: File, Open (to unsubscribe), Trash or Junk. A tick appears when it is done.
  • Skip a row. Click the × beside the button. Its tooltip reads Leave this one alone, and the row then shows skipped.
  • File a whole group. Beside File into categories, click File all and the number, such as File all 18, to file every row that is still waiting. Only filing has a button for the whole group; Trash and Junk always go one row at a time.

Your message list refreshes after anything moves. Close the tidy-up with the × at the top right.

Unsubscribing

Clicking Open only opens the sender's unsubscribe page in your browser. Finish unsubscribing there.

Some senders only take an unsubscribe request by email. Their row says Write to and the address, with write to them in place of a button. Send them a message from Mail if you want to stop their mail. See Read, reply and send email.

Suggestions that were not offered

At the bottom, a list such as 2 suggestions were not offered: shows anything Plexii proposed that the tidy-up does not allow, with the reason. The most common is an unsubscribe for a sender who has published no way to unsubscribe. That message is listed under Leave in the inbox instead.

When the tidy-up shows a message instead

It says What it means
Nothing to suggest — your inbox looks sorted already. Plexii found nothing to change in your latest mail.
The model could not be reached. Plexii could not be reached with your Anthropic key. Check that you have added one in Settings > AI. See Add your own API keys.
An error on one row That row could not be applied, for example because your mail server refused the move. The other rows are not affected.

Tips

  • File first, then look at the rest. Filing receipts and notifications is the bulk of most tidy-ups, and File all does it in one go. Read the Trash and Junk rows one by one.
  • Skip freely. A skipped row stays exactly where it is in your inbox.
  • Run it again. Each run reads your newest messages as they are now, so after a tidy-up the next run looks at what is left.
  • Prefer tags for mail you want to keep in view. Filing moves mail out of your inbox. To group mail without moving it, use a tag. See Organise mail with tags.

Common questions

Does the tidy-up do anything by itself? No. It only proposes. Every move happens when you press a button.

Where does filed mail go? Into a folder of that name in your mailbox, on the mail server. You see the same folder in any other email app you use with that mailbox.

Can I get a message back from Trash? Yes. Trash holds it until it is emptied. Open your mailbox's Trash in your usual email app to move it back.

What is the difference between a category and a tag? A category is a real folder: filing moves the message. A tag is a view in PlexiDesk: nothing moves. See Organise mail with tags.

Why do I need my own key when I am signed in? Suggested tidy-up is one of the features that always runs on your own Anthropic key. See Add your own API keys.
