Keyboard shortcuts in Office

The keyboard shortcuts in PlexiiDocs, PlexiiSheets, PlexiiSlides, PlexiiDiagrams, PlexiiDraw and PlexiiDesign, for Mac and Windows, plus typing shortcuts.

All plansUpdated

Each PlexiiOffice app has its own keyboard shortcuts for the work you do in it: formatting text, moving round a spreadsheet, presenting slides, or switching drawing tools. This page lists them app by app, for the Mac and for Windows.

For the shortcuts that work everywhere in PlexiDesk, such as the command palette, see Keyboard shortcuts.

Before you start

  • Plan. Shortcuts work the same on every plan.
  • Mac and Windows. On a Mac, shortcuts use ⌘ (Command) and ⌥ (Option). On Windows, press Ctrl instead of ⌘ and Alt instead of ⌥. ⇧ is the Shift key.
  • Click into the editor first. Shortcuts act on the editor that has your attention. Most do nothing while you are typing in a box elsewhere on the screen, such as a search box.
  • App-wide shortcuts still work. ⌘ K opens the command palette inside every editor too.

In the slash menu and the @ list, use the arrow keys to move, Enter to choose and Esc to close. See Insert with / and link with @.

Type to format

Type these at the start of a line, followed by a space, and PlexiiDocs turns them into formatting as you type:

Type To get
# to ###### Heading 1 to Heading 6
-, + or * A bulleted list
1. A numbered list
[ ] or [x] A checklist item
> A quote
``` A code block. Add a language name after it if you like.
--- A divider line (no space needed)
Inside a line, **bold**, *italic*, ~~strikethrough~~, `code` and ==highlight== format the text between the marks as soon as you type the closing mark. A web address you type becomes a link.
PlexiiSheets
Click a cell first. These keys act on the grid when you are not typing in a cell.
To do this On a Mac On Windows
Move between cells Arrow keys Arrow keys
Extend the selection ⇧ and an arrow key Shift and an arrow key
Move right Tab Tab
Edit the cell Enter or F2 Enter or F2
Start typing over the cell Type any character Type any character
Clear the selected cells Delete or Backspace Delete or Backspace
Copy, cut, paste cells ⌘ C, ⌘ X, ⌘ V Ctrl C, Ctrl X, Ctrl V
Fill down ⌘ D Ctrl D
Fill right ⌘ R Ctrl R
Fill the selection with the active cell ⌘ Enter Ctrl Enter
Select the cells in use ⌘ A Ctrl A
Undo ⌘ Z Ctrl Z
Redo ⌘ ⇧ Z Ctrl Shift Z
While you are typing in a cell:
  • Enter saves and moves down, Tab saves and moves right, and Esc cancels.
  • With a typed value, the arrow keys save and move that way.
  • While writing a formula, the arrow keys point at a cell and put its reference into the formula.
  • In the list of functions that appears, use the arrow keys to move, Enter or Tab to choose, and Esc to close.
Paste fills a whole selection from one copied cell, and adjusts formula references when you paste a copy of your own cells. See Fill, copy and paste.
Common questions
A shortcut does nothing. Click into the document, sheet, slide or canvas first, so the editor has your attention. Shortcuts that change a selection need something selected. In PlexiiSheets, grid shortcuts do nothing while you are typing in a cell: press Enter or Esc first.
Can I change these shortcuts? No. The shortcuts in the Office apps are fixed.
Does ⌘K insert a link in PlexiiDocs? ⌘ K opens the command palette everywhere, including in documents. To add a link, use Insert > Link.
