Calendar in Plexii

See your focus time, meetings, deadlines and linked Google or Outlook calendars in one place, and drag open work straight into your day.

All plansUpdated

Calendar is where your time and your work meet. It shows the blocks of focus time and the meetings you book, the deadlines on your open work, and the events from any Google or Outlook calendars you link. Beside the grid sits To schedule, a list of your open Attention items, so you can drag a piece of work into an empty hour and it is booked.

Use it to see what your day or week really holds, to make time for the work that matters, and to keep your other calendars in view without switching apps.

Calendar is part of every plan.

Open Calendar

  • In the side menu, under Apps, click Calendar in the Tools group.
  • Or press ⌘ K on a Mac or Ctrl K on Windows, type Calendar and press Enter. See The command palette.

Calendar opens in the view you used last. The first time, it opens in Week.

What you see

The page has two halves: the To schedule list on the left and the calendar on the right.

On a trackpad, swipe left or right across the calendar to move Later or Earlier.

The grid

In Day, 3-Day, 5-Day and Week, each day is a column of hours:

  • Blocks are the focus time and meetings you have booked. Each takes the colour of the Plexii calendar it belongs to, or the colour of its Attention class when it is linked to an Attention item.
  • Events from linked calendars are drawn flat with a coloured edge. You read them here and change them in the calendar they came from. See Meetings from your Google or Outlook calendar.
  • Deadlines for open work sit above the grid, on the day they are due. Drag one into the grid to book time for it, click it to open Attention, or double-click it to see its details.

When you open the calendar, it scrolls so the current hour is near the top.

Month and Year

Month shows six weeks as a grid. Each day lists its blocks, events and due work. Year shows all twelve months with a mark on each day that has something on it. Click a day in either view to open it in Day. In Year, click a month's name to open that month.

Schedule work by dragging

The To schedule list holds your open Attention items, most important first. Items that already have time booked later today or in the future sink to the bottom and show a check-mark calendar icon.

  1. Find the item in To schedule. Use the list's dropdown to show All open items or one class.
  2. Drag it onto the calendar at the time you want.

A 30-minute block is booked straight away, linked to the item. Drag its bottom edge to make it longer.

To take a block off the calendar, drag it back over the list. The list's title changes to Drop here to unschedule while you drag. Release it there and the block is removed; the item stays in the list.

Work with a block

Rest the pointer on a block to see its buttons:

Button What it does
Video camera Join this meeting. Shown on meetings.
Record Record this external meeting. Shown on meetings with a pasted video link. See Record notes or a meeting held elsewhere.
Calendar Add to my calendar. Shown on meetings.
Open Jump to this task or Open this folder, when the block is attached to one.
Lightning bolt Start a focus session for this block.
Tick Mark done, or Mark not done to undo it.
Cross Delete block. For a repeating block you choose whether to delete future occurrences too.
  • Move a block by dragging it, including onto another day.
  • Change its length by dragging its top or bottom edge.
  • Open it by clicking it. A meeting or a plain block opens with every field ready to edit. A block linked to an Attention item opens the item.

Booking or deleting a block can be undone with ⌘ Z on a Mac or Ctrl Z on Windows. See Undo and redo.

Common questions

The To schedule list says "Nothing needs scheduling. Clear runway." You have no open Attention items, or every item matches a filter you have set. Choose All open items in the list's dropdown.

Why can I not drag an event from my Google calendar? Events from linked calendars are read here and changed in the calendar they came from.

Where did my Month view's plan bar go? Plan my day is not shown in Month. Switch to Day or Week to use it. See Plan my day.

Does Calendar remember my view? Yes. It reopens in the view and class filter you used last on this computer.
