Sign in to Google or Microsoft calendars

Link a Google or Microsoft account to bring in all its calendars with guests and join links, and write your Plexii blocks back to it.

All plansUpdated

Signing in links a whole Google or Microsoft account to Plexii. Plexii reads the account's list of calendars, adds the ones you want, and brings in each event with its guests, your own reply and the link to join the call. It can also write the focus time and meetings you book in Plexii out to one of those calendars, so they show up wherever else you look at your diary.

If you only want to see a calendar's events, pasting its link is quicker and needs no setup. See Add a Google or Outlook calendar with a link.

Signing in to a calendar account is part of every plan.

Before you start

Signing in needs an OAuth client ID that you create in your own Google or Microsoft account. Google and Microsoft issue these per account, so Plexii cannot supply one for you.

  • Create a client of the type Desktop app.
  • Allow the redirect address http://127.0.0.1 (opens in a new tab) on any port.
  • Keep the client ID and the client secret to hand. You paste both into Plexii.

Save your client ID

  1. Open Calendar. In the side menu, under Apps, click Calendar in the Tools group.
  2. Click Calendars in the toolbar.
  3. At the bottom of the panel, click Sign in with Google or Microsoft instead.
  4. Under Google or Microsoft, paste the client ID into the first box.
  5. Paste the client secret into the Client secret box.
  6. Click Save. The panel says Saved.

Once a secret is stored, its box reads Client secret — stored (leave blank to keep). Leave it blank when you change only the client ID.

Sign in and add the calendars

  1. Click Sign in with Google or Sign in with Microsoft. The button works once a client ID is saved.
  2. Your web browser opens the provider's sign-in page. Sign in and allow access to your calendar.
  3. The browser shows Calendar connected. Close the tab and go back to PlexiDesk.
  4. The panel says Signed in as and your email address. Click Add its calendars.

Every calendar on the account is added to Your calendars, with the source Google or Outlook, and the panel says how many, for example Added 3. Give each a colour, or hide the ones you do not need. See Manage your calendars.

Each one says Two-way: events here are read, and Plexii blocks can be written back.

What you will see

  • Events from the account appear in every calendar view in their calendar's colour, from one year back to two years ahead.
  • Meetings show a button to join the call when they have a video link, the number of guests and your own reply. See Meetings from your Google or Outlook calendar.
  • The calendars refresh by themselves every 15 minutes while PlexiDesk is open. Click Refresh now on a calendar's row to refresh it at once.

Write your blocks to Google or Outlook

Your Plexii calendars keep your blocks to themselves until you choose otherwise.

  1. In the Calendars panel, find the Plexii calendar whose blocks you want to share. Your first one is called Plexii.
  2. In Write out to, choose a Google or Outlook calendar you have signed in to. Choose Keep in Plexii to stop.
  3. To write straight away, click Write now. The panel reports what it did, for example Wrote 4 new and updated 1 on the linked calendar.

From then on, Plexii writes that calendar's blocks out every 15 minutes, from a week back to 120 days ahead. A block you change in Plexii is updated there too.

When something goes wrong

The panel says What to do
No Google client ID is configured yet. or No Microsoft client ID is configured yet. Save your client ID first.
Sign-in did not complete. or Connection cancelled in the browser Sign in again and allow access when the provider asks.
The sign-in has expired and no refresh token was given. Reconnect the account. Click the sign-in button again.
That account is no longer connected. Sign in to the account again, then click Add its calendars.
Every calendar on that account is already here. Nothing to do: the account's calendars are all in the list.

If a write fails, the reason appears under the Plexii calendar's name, so you can see it the next time you open the panel.

Common questions

Do I need to sign in to see my Google calendar? No. A calendar link shows its events without any setup. Sign in when you want guests, join buttons and your blocks written back.

Can I change a Google or Outlook event from Plexii? No. Events from linked calendars are read in Plexii and changed in Google or Outlook.

Does Plexii write to every calendar on the account? No. It writes only to the calendar you choose in Write out to, and only the blocks on that Plexii calendar.

I added a calendar I do not need. Click Remove on its row. The other calendars on the account stay.
