The desk menu: where you are, who's here, rename, share and move

Click the desk's name in the header to see where the desk sits and who else is on it, and to rename it, share it or move it into a room.

While a desk is open, its name sits at the left end of the header, just after the back and forward arrows. Click it to open the desk menu. This one menu answers three questions: where this desk sits, who else is on it, and what you can do with it.

Open the desk menu

  1. Open a desk.
  2. Click the desk's name in the header. The menu drops down below it.
  3. To close the menu, click the name again, click anywhere outside the menu, or press Esc.

The menu has up to three parts:

  • Where you are: the trail from your workspace down to this desk.
  • Who's here: the people on this desk right now, on the Team plan.
  • This desk: Rename, Share… and Move to a room….

The button just to the right of the desk's name is the view button. It changes how the desk is shown, for example as columns or a list, and is not part of this menu. See Show a desk as columns, a list, a table or a gallery.

Where you are

The top of the menu lists the path to this desk, from the top down. Click any row to go there.

  • Workspace home closes the desk and shows Your desks, a gallery of your desks to open.
  • Each room above this desk, marked room. Click one to open that room.
  • A desk above this one, marked desk, if this desk was added as a task on another desk. Click it to open that desk. See Create a desk.
  • This desk, marked you are here and ticked. Clicking it just closes the menu.

Who's here

On the Team plan, the desk menu also shows who else is on this desk right now, so you know before you start moving things around.

  • People on the desk now appear as round badges with their initials, up to five, then a count such as +2. The coloured ring around each badge shows their status. Rest the pointer on a badge to see the person's name and what they are working on, or their status.
  • People invited but not here. Members of this desk's chat who are not on the desk right now are counted on a small button with a people icon. Click it to see their names under Invited, not here.
  • Dots on the desk's name. When someone else is on the desk, small coloured dots appear beside the desk's name in the header, one for each person up to three, then a count. You can tell someone is there without opening the menu.

You are not listed yourself. On the Free and Pro plans, no one is listed here, because live presence is part of the Team plan. See Presence and your status Coming soon and What each plan includes Coming soon.

Rename the desk

  1. Click the desk's name in the header.
  2. Under This desk, click Rename. A box opens with the current name in it.
  3. Type the new name.
  4. Press Enter to keep it, or Esc to keep the old name. Clicking away from the box also keeps the new name.

An empty name is not saved, so the desk keeps its old one. To rename desks from a list, or several in a row, see Rename a desk and move it to a room.

Share the desk

  1. Click the desk's name in the header.
  2. Under This desk, click Share…. The menu closes and the share sheet opens.
  3. Choose who can open the desk:
    • Specific people: they sign in, and changes sync both ways.
    • Anyone with the link: no account and no install needed.
  4. Follow the rest of the sheet to invite people or make the link.

Move the desk into a room

  1. Click the desk's name in the header.
  2. Under This desk, click Move to a room…. Your rooms are listed under Move to a room. If the desk is already in one of them, that room is ticked.
  3. Click the room you want. The desk moves there and the menu closes.

The list shows your rooms at the top level that are not archived. Rooms inside other rooms are not listed here.

Make a new room for this desk

In the same list, click New room from this desk. PlexiDesk creates a room called "New Room" and moves the desk into it in one step. If you have no rooms yet, the list says so and offers this option.

On the Free plan, a new room counts towards your three rooms. See Create and organise rooms, which also explains how to rename the new room.

Take the desk out of its room

The desk menu moves desks into rooms. To move a desk back to the top level, use All desks: select the desk, click Move to room… and choose Top level. See Rename a desk and move it to a room.

Common questions

I can't see the desk's name in the header

The name, and the desk menu with it, only appear while a desk is open. On Home and other pages, open a desk first.

Who's here is empty, or missing

Live presence is part of the Team plan. On the Team plan, the section lists someone only when another person has this desk open right now, or is a member of the desk's chat. If you work on the desk alone, it stays empty.

The room I want is not in the Move to a room list

Only rooms at the top level that are not archived are listed. If the room is archived, restore it first. See Archive, trash and restore rooms and desks.

I clicked New room from this desk and was asked to upgrade

The Free plan includes three rooms. Move the desk into one of your existing rooms instead, or see Plans and pricing: Free, Pro and Team Coming soon.
