Desk, Office, People and Brain: the four areas

PlexiDesk has four areas, Desk, Office, People and Brain, each with its own menu. Learn what each one holds and how to move between them.

Everything in PlexiDesk sits in one of four areas:

  • Desk: your rooms, desks and the canvas you work on.
  • Office: documents, spreadsheets, slides and the other PlexiiOffice apps, plus mail, calendar, chat and meetings.
  • People: the people in your organisation and who is around.
  • Brain: what your workspace knows, search, automations and agents.

Each area has its own menu on the left, with only that area's apps in it, so the menu stays short. Four tabs at the top of every menu move you between areas in one click.

Before you start

  • Plans. All four areas are on every plan. A few apps inside them need a particular plan, and are noted below.
  • Organisations. If an administrator has turned an area off for your organisation, its tab shows greyed out with a lock.

Switch between areas

The tabs Desk, Office, People and Brain sit near the top of every area's menu, just below the workspace switcher. The tab for the area you are in is highlighted.

  1. Look at the menu on the left of the window.
  2. Below the workspace switcher, choose Desk, Office, People or Brain.

Where each tab takes you:

  • Desk opens Home, your Home dashboard in the Desk area.
  • Office opens the Office menu's Home page.
  • People opens People Home.
  • Brain opens a page with a tile for each Brain app.

You can also press ⌘ K on a Mac (Ctrl K on Windows) and choose PlexiOffice, PlexiPeople or PlexiBrain.

If a tab is greyed out

A greyed tab with a lock means that area is not available to you. Point at the tab to see why: either an administrator has turned it off, or it is not included in the plan. If you can change the plan, clicking the tab opens the pricing page in your browser. If you are a member of an organisation, ask an administrator. The Desk tab is always available.

Desk

The Desk area's menu is the side menu you see most of the time. It has New desk at the top, then the workspace switcher and the area tabs, then:

  • Home: your Home dashboard.
  • Attention: everything that needs you, with filters.
  • Rooms: all your rooms. The arrow beside it shows All desks, Shared and Trash.
  • Connected Apps, while a desk is open.

Office

The Office menu has a PLEXIOFFICE heading. Under the area tabs are pages for finding and starting files, including Home, Recent, Starred and Templates. Then come two sections.

Apps

Communicate

  • Office Home: Office's own dashboard. See The Home dashboard.

People

The People menu has a PLEXIPEOPLE heading. Choosing the People tab opens People Home. Under Apps you will find:

  • People Home: team status and who is around.
  • Directory: everyone in your workspace. See The People area Coming soon.

  • Organisation Map: everyone by office and reporting line. Team plan. See People Map Coming soon.

On plans without them, Organisation and Organisation Map do not appear in the menu.

Brain

The Brain menu has a PLEXIBRAIN heading. Choosing the Brain tab opens a page with a tile for each Brain app. Click a tile, or choose the app in the menu under Apps:

  • Brain Home: a dashboard for what your workspace knows.
  • Ask Brain: your knowledge base. See Build your knowledge base in Ask Brain Coming soon.

The PlexiDesk app menu

Besides the Desk side menu, PlexiDesk has an app menu that gathers the Desk area's apps in one place, with a PLEXIDESK heading. To open it:

  1. Press ⌘ K on a Mac (Ctrl K on Windows).
  2. Type PlexiDesk and choose PlexiDesk.

The Plan button in the Home dashboard's Quick actions widget also opens this menu, on Plans.

The menu's first Home shows a tile for each app. Under Apps you will find:

  • Home: your Home dashboard. See The Home dashboard.
  • My Desk: the desk you have open. With no desk open, it shows Your desks, a live thumbnail of each top-level room and desk. Click one to open it, or right-click it to archive it or move it to Trash. If you have no desks yet, it offers New desk.
  • Workspaces: your organisations. Team plan. See Set up and manage your organisation Coming soon.

  • Desks: opens All Tasks, every task across your desks in one list. See See every task in All Tasks Coming soon.

  • Recent: the documents you last opened, newest first.

Each area has its own Home

Every area has a dashboard you can arrange your own way. Each one keeps its own layout:

  • Home in the Desk area.
  • Office Home in the Office menu, under Communicate.
  • People Home in the People menu.
  • Brain Home in the Brain menu.

Hide an area's menu, and get back to Desk

The Office, People and Brain menus, and the PlexiDesk app menu, have two buttons at the top right of the menu:

  • Minimise hides the menu so the page gets the full width of the window. A small button with the area's name, for example PlexiOffice, appears at the top left. Choose it to bring the menu back. PlexiDesk remembers whether you left a menu minimised. The People and Brain menus and the PlexiDesk app menu share this setting, so minimising one minimises all three.
  • Back to PlexiDesk (the grid icon) takes you to Home in the Desk area.

Until you minimise or restore one yourself, these menus start minimised on a small window. The Desk side menu has its own minimise button. See The side menu.

Common questions

Where is Calendar? In Office > Communicate > Calendar, beside Mail and Inbox. It is also in the PlexiDesk app menu.

Where is Files? In Office > Apps > Files, beside Browser. It is also in the PlexiDesk app menu.

Where is the Vault? In Settings > Data. Open Settings with the gear at the top right of the window. See Store passwords in the Vault Coming soon.

Where is the Plexii hub? Open the assistant with the Plexii button at the bottom right, then click the Plexii wordmark at the top of the panel. Or press ⌘ ⇧ K on a Mac (Ctrl Shift K on Windows). See Use the Plexii hub.

Why can I not see Organisation or Organisation Map? They are part of the Team plan. See Plan features Coming soon.

Why are there two Home entries in some menus? In the Brain and People menus and the PlexiDesk app menu, the Home at the top shows a tile for each of the area's apps, and the Home under Apps (for example Brain Home) is the area's dashboard. In the Office menu, Home is Office's start page for creating and reopening files, and Office Home under Communicate is its dashboard.
