Close, snooze, archive and edit an item
Work through an item on the Attention page: close it with its own verb, change its status, snooze or archive it, open its source, or edit every detail.
Every row on the Attention page is something that needs you. This article covers what you can do with one item: close it, change its status, snooze it until tomorrow, archive it, open where it came from, and edit everything about it. It also covers the shelves at the foot of the page, where closed, archived and detached items go.
Use it when you are working down your list and want to deal with each item properly, rather than leaving it to sit.
Before you start
- Working with Attention items is available on every plan.
- Open the Attention page: in the Desk area, click Attention in the side menu.
- Each item sits in a queue, such as To Do or Review, and each queue closes with its own word. See Queues, closing verbs and grouping.
Anatomy of a row
Each row shows, from left to right:
- a coloured stripe down its left edge, in the colour of its queue
- an empty circle that closes the item
- its title, with chips under it for its plan, its desk, where it came from, anyone or anything it mentions, and its tags
- a short reason, such as Past due, Due today, Due tomorrow or Suggested by Plexii
- on the right: a flag when it has an urgency other than normal (red for urgent, amber for high), its status pill, its due date (red once it has passed) and the initials of anyone mentioned
Rest the pointer on a row to show its action buttons at the right-hand end. Rest the pointer on each button to see what it does.
If the title is cut off, or the item has notes, click the title to open the full text in place. Click it again to fold it away.
Close an item
- Rest the pointer on the circle at the left of the row. The tooltip names the queue's closing word, for example Done — close this item or Reviewed — close this item.
- Click the circle.
Each queue closes with its own word:
| Queue | Closes with |
|---|---|
| To Do | Done |
| Review | Reviewed |
| Decide | Decided |
| Respond | Responded |
| Meet | Scheduled |
| Discuss | Discussed |
| Remember | Let it go |
| Know | Got it |
Two questions can follow:
- If the item has open sub-items, Close its subtasks too? asks what to do. Choose Close all with it (the button shows the number), Just this one — subtasks stay open, or Cancel. Each sub-item closes with its own queue's word.
- If it was the last open item on a desk that is still open, Desk complete? offers Mark the desk done or Leave it as is. Nothing changes on the desk unless you choose to mark it done.
Change an item's status
- Click the status pill on the right of the row. Its tooltip says Change status.
- Choose Not started, In progress, Waiting, Blocked or Delegated.
The last choice in the list is the queue's own closing word. Choosing it closes the item exactly as the circle does, with the same two questions.
Snooze until tomorrow
Click Snooze until tomorrow morning (the snooze button) in the row's actions. The item leaves the queues and comes back at 9:00 the next morning.
Archive an item
Click Archive — keep it, out of the way in the row's actions. The item is kept but leaves the queues, and it is not counted as closed.
Bring an archived item back
- Scroll to the foot of the page and click Archived to open the shelf. The number beside it counts the items on it.
- Rest the pointer on the item and click Unarchive.
The item goes back into its queue with the status Not started. Nothing on the Archived shelf ever becomes due or nudges you.
Open where it came from
The row's action buttons depend on the item:
- Open the source: when the item has a source, the first button opens it. Its tooltip says what it opens: Jump to the spoken moment in the meeting, Open the message in PlexiiMessage — the conversation, at this message, or Open the source page followed by the web address.
- Open it here — the object itself, full screen inside Plexii: when the item was marked from a widget on a desk, this opens the desk and shows that widget full screen, so you can deal with it without leaving PlexiDesk.
- Open the whole desk it came from: opens the item's desk.
- Start it with Plexii — opens a chat prefilled from this capture: opens the Plexii panel with a message about the item in the message box. Nothing is sent until you press send. See Get started with Plexii from Attention.
- Copy the full text: when the item has notes or a long title, copies the title and notes. The button shows a tick for a moment once it is copied.
The chips under the title are doors too. Click the plan chip to open the plan, the desk chip to open the desk, meeting or message to go back to where the item came from, and a mention of a desk, room or plan to open it. Click a tag to show only items with that tag, and click it again to clear the filter.
Edit an item
- Double-click the row, or click Open the item in the row's actions. Edit item opens over the page.
- Change any of these:
- Title and Notes.
- Classification: the queue it belongs in. Rest the pointer on each choice for a short description. Changing it also changes the word it closes with.
- Due: a date, or the × beside it to clear it. An item counts as due at 5 pm on that day.
- Desk: the desk it lives on, or No desk.
- Urgency: low, normal, high or urgent.
- Tags & mentions: type a word and press Enter or a comma to add it as a tag, or type
@to mention a person, desk, room or plan.
- Click Save, or press ⌘ + Enter. Click Cancel or press Esc to leave without saving.
Only the fields you changed are saved. An item needs a title, so Save asks for one if the title is empty.
If the item has a source page or message, Source shows a link to it near the bottom of the form.
Meet items
When an item is in Meet, Edit item also shows The meeting:
- When: a date and a time, with × to clear them.
- Length: Not set, or 15 to 120 minutes.
- Join link: a meeting link. The form tells you which service it opens with, or warns you if it is not a web link, because the row only offers a join button for web links.
- Location and Others coming.
- Your answer: None asked, Waiting on you, Yes, Maybe or No.
- Put on calendar: books the meeting on your calendar. Once it is there the button says Update the calendar. See Book time for an item from Attention.
While your answer is Waiting on you, the row shows RSVP with yes, maybe and no buttons, so you can reply without opening the item.
What you will see
Recently closed
At the foot of the page, Recently closed lists what you closed in the last seven days, newest first, with the word each one closed with, such as completed or reviewed. Click the heading to open or fold it. Items you let go, dismissed or archived are not listed. Clicking the Closed · 7d tile at the top of the page opens this list too.
Detached
When the desk an item lived on is removed or moved, the item is kept and moves to Detached, under the queues. Detached items cannot be closed until they have a desk again.
- Rest the pointer on the item and click Move….
- Move to a desk lists your desks. Click the one to move it to.
The item returns to its queue on its new desk.
Tips
- Snooze is for "not today". Archive is for "keep it, but I am done looking at it". Closing is for "this is finished".
- Close with the circle rather than archiving when the work is done, so it shows in Recently closed and in your counts.
- Use Copy the full text to paste a long capture into an email or document.
Common questions
Where did my snoozed item go? It is hidden from the queues until 9:00 the next morning, then comes back on its own.
Why can I not close an item on the Detached shelf? It needs a desk first. Click Move… and pick one.
What is the difference between Archive and Let it go? Let it go closes a Remember item. Archive works on any item and keeps it on the Archived shelf, where you can unarchive it later.
Can I snooze for longer than a night? Not from the row. Snooze always runs until 9:00 the next morning. For something further off, give it a due date in Edit item instead.
