Assistant autonomy

Choose how much Plexii may do on its own: only suggest, ask before each change, or handle low-risk work itself and ask before anything risky.

All plansUpdated

When Plexii suggests changes, such as adding widgets to a desk, filling in a table or drafting an email, it offers them as cards. Assistant autonomy decides what happens to those cards: whether Plexii only suggests, waits for you to apply each one, or applies routine work itself and asks before anything risky.

The setting is on the AI tab of Settings. Organisation admins can also set a ceiling that no member's choice can go above.

Before you start

  • Assistant autonomy is on every plan. The Autonomous agent, which it also governs, is part of the Pro and Team plans.
  • Your choice belongs to your account. While you are signed in, it is saved with your account and applies on every computer you sign in on. If you are not signed in, a choice lasts only until you quit PlexiDesk.
  • New accounts start on Ask before acting.

The three levels

Level What Plexii does
Suggest only The assistant surfaces ideas but never changes anything itself. You do the action.
Ask before acting The assistant proposes each action and carries it out once you confirm.
Act on low-risk, ask for the rest The assistant handles routine, low-risk work on its own and tells you, but still asks before anything risky.

What counts as risky

These always wait for you, at every level:

  • removing something from a desk
  • booking time in your calendar
  • moving, flagging or otherwise acting on your real email
  • starting an email or a chat message to someone
  • starting a focus session timer

Everything else Plexii can propose, such as adding widgets, writing into a note or table, creating a desk or a document, is low-risk: it stays inside your workspace and can be undone. See Everything Plexii can create or change.

Choose your level

  1. Click the gear at the right-hand end of the header to open Settings.
  2. Click the AI tab.
  3. Scroll to Assistant autonomy, below Attention.
  4. Under Your default (all assistants), click Suggest only, Ask before acting or Act on low-risk, ask for the rest.

To go back to your organisation's default, or PlexiDesk's, click Use org / default.

The box at the top, In effect now, shows the level that applies and where it comes from, such as Set at the system level. If your organisation caps it, it ends with capped by your organisation.

What you will see at each level

Suggest only

  • Plexii's cards still appear, so you can see the ideas, but they have no one-click apply, and there is no button to apply them all.
  • A note under the cards explains why: Your autonomy setting is "Suggest only", so Plexii leaves the doing to you. If your organisation set the limit, it says Your organisation limits the assistant to suggestions, so these are not applied for you.
  • Make the changes yourself, using the cards as your guide.

Ask before acting

Act on low-risk, ask for the rest

  • Low-risk cards apply themselves, one at a time, and a note says Applied automatically — your autonomy setting allows low-risk work without asking.
  • Risky cards wait for you to apply them, as at Ask before acting.
  • A card that needs you to choose where something goes also waits for you.

The Autonomous agent

When you give Plexii a goal with the Autonomous agent, the same level applies to each step it takes. At Suggest only and Ask before acting, every step waits for your approval. At Act on low-risk, ask for the rest, it carries out low-risk steps itself and stops to ask before risky ones. The level is read when a run starts, so a change takes effect from the next run. See Give Plexii a goal with the Autonomous agent.

Organisation ceiling

In a shared organisation, admins and owners see Organisation ceiling (applies to everyone), with the note No member's assistant may exceed this level. Choose a level, and every member's assistant works at that level or below it, whatever they choose themselves.

Other members see what their organisation has set: Your organisation caps autonomy at the level, or Your organisation has not set an autonomy policy. If you are not in a shared organisation, the section says Join or switch to a shared organisation to see or set an organisation-wide policy.

If a member who is not an admin tries to change the ceiling, PlexiDesk says Only an organisation admin can set this. See Organisation settings and switching workspaces.

Tips

  • Start on Ask before acting. Once you trust the kinds of changes Plexii proposes for your work, move to Act on low-risk, ask for the rest to save clicks.
  • Use Suggest only when you want Plexii as an adviser, for example while you are learning how PlexiDesk works, or for a shared workspace where people prefer to make every change themselves.
  • Check In effect now if Plexii does more or less than you expect. It shows whether your organisation's ceiling is limiting your choice.

Common questions

I chose Act on low-risk, but Plexii still asks me. The change is one of the risky kinds, which always wait for you, or your organisation's ceiling is lower than your choice. Check In effect now.

Can Plexii delete things on its own? No. Removing something is always treated as risky and waits for you, at every level.

My level was different after I restarted. You were not signed in, so the choice was not saved. Sign in and choose again. See Create an account and sign in.

Does this change what Plexii can see? No. Autonomy is about what Plexii may change. What it reads is covered in What Plexii can read and search.
