Archive, trash and restore rooms and desks
Archive a room or desk to put it out of sight, move it to Trash with an Undo, and restore it within 7 days or delete it permanently.
When you have finished with a room or desk, you have two ways to put it away:
- Archive takes it out of your lists but keeps it in your workspace, ready to bring back whenever you like.
- Move to Trash removes it. It waits in Trash for 7 days, so you can restore it if you change your mind, and is then removed automatically.
Both work the same way on every plan, and there is nothing to set up.
Archive or Trash: which to use

Archive suits work you are pausing or have finished but may want to look at again. Trash suits things you no longer need.
Archive a room or desk
- Open All rooms (in the side menu, click Rooms) or All desks (in the side menu, click All desks under Rooms).
- Right-click the room or desk.
- Choose Archive room or Archive desk.
It leaves the list, and an Archived button appears at the top right with the number of archived items in brackets.
You can do the same from Your desks, the page of preview cards you see in the Desk area when no desk is open: right-click a card and choose Archive room or Archive desk. Archived items are left off that page too. To open Your desks, see Desks, rooms and the canvas.
See archived items and unarchive them
- On All rooms or All desks, click Archived at the top right. The page title changes to Archived rooms or Archived desks.
- Right-click the item you want back and choose Unarchive room or Unarchive desk.
- Click Live rooms or Live desks to return to the usual list.
PlexiDesk remembers which list you were looking at on each page. If All desks looks almost empty, check whether the title says Archived desks, and click Live desks if it does.
Move a room or desk to Trash
- On All rooms, All desks or Your desks, right-click the room or desk.
- Choose Move to Trash.
It goes to Trash straight away, without a question. A dark message appears at the bottom of the window with an Undo button, and stays for about seven seconds. Click Undo to bring the item straight back. If the message has gone, click an empty part of the page and press ⌘ Z on a Mac or Ctrl Z on Windows. See Undo and redo.
A room goes to Trash with everything in it: its desks, any rooms inside it, and their widgets. Attention items on a desk go with it too. They all come back together when you restore it.
Moving something to Trash keeps what Plexii learned from it.
Open Trash
In the side menu, under Rooms, click Trash. If you cannot see it, click the arrow beside Rooms to open the group.
When the side menu is minimised to a column of icons, click the Trash icon. Rest the pointer on an icon to see its name. See The side menu.
Trash lists the rooms and desks you moved there, newest first. Each one shows how many days it has left, such as 6 days left. One whose time is up shows purging soon. A desk that went to Trash with its room is not listed on its own: it is inside the room and comes back with it.
When there is nothing in Trash, it says Trash is empty.
Restore from Trash
- Open Trash.
- Click Restore beside the room or desk.
It goes back where it was, exactly as you left it: the same room, the same widgets and, for a room, all of its desks.
Delete permanently
Use this when you want something gone now rather than after 7 days. It cannot be undone.
- Open Trash.
- Click Delete permanently beside the room or desk.
- Type the room's or desk's name, as shown, to confirm.
- Click Delete permanently.
If the name you type does not match, nothing is deleted and PlexiDesk tells you so.
What happens:
- The room or desk and everything in it are erased straight away.
- What Plexii learned from it is erased too. This is the difference from leaving it to be removed after 7 days, which keeps what Plexii learned. See What Plexii remembers about you Coming soon.
- Attention items on it are always kept. They move to your Attention page, and PlexiDesk tells you how many moved. See Attention: everything that needs you Coming soon.
Work on several at once
In All rooms or All desks
- Switch to Gallery, List or Table view.
- Click Select in the toolbar.
- Click each item to tick it, or click Select all.
- Choose an action:
- Archive, or Unarchive when you are looking at the archived list.
- Move to Trash. PlexiDesk asks first, reminding you that the items can be restored for 7 days. Click Move to Trash to go ahead. One Undo message covers them all.
- On All desks only, Move to room…. See Rename a desk and move it to a room.
- Click Done to stop selecting.

In Trash
- Click Select at the top right of Trash.
- Click each item to tick it, or click Select all.
- Click Restore to bring them all back, or Delete permanently to erase them.
- For Delete permanently, type DELETE and click Delete permanently. If you type anything else, nothing is deleted.
- Click Done to stop selecting.
Rooms and desks shared with other people
A room or desk you share live with other people, or that someone shares live with you, belongs to more than one person, so its right-click menu is different:
- Archive for me takes it out of your lists only. Everyone else still sees it as before. Unarchive for me brings it back.
- Leave share, on one someone shared with you, removes it from your workspace. The other people keep it, and any Attention items of yours on it move to your Attention page. PlexiDesk asks you to confirm first.
- Move to Trash is not offered. A greyed-out line in the menu explains why.
When you select several items and choose Move to Trash, shared ones are left out, and the question tells you how many.
If PlexiDesk cannot leave a share, for example while you are offline, nothing changes. Try again once you are connected, or ask the person who shared it to remove you.
A copy you added to your workspace from Shared with me is your own, so it archives and goes to Trash like anything else. See Rooms and desks shared with you.
Common questions
I moved a desk to Trash by mistake. Can I get it back? Yes, for 7 days. Click Undo in the message straight away, or open Trash and click Restore.
Where has my archived desk gone? Open All desks and click Archived at the top right. If you archived the room it was in, the room is under Archived on All rooms, but the desk itself is still in All desks.
Does moving a room to Trash free up a room on the Free plan? Yes. Rooms in Trash do not count towards the Free plan's three rooms, but archived rooms do. Remember that the room's desks go to Trash with it. See Create and organise rooms and What each plan includes Coming soon.
What happens to my Attention items? They are never lost. They go to Trash with their desk and come back when you restore it. If the desk is deleted permanently or removed after 7 days, they move to your Attention page.
What about Office files and widgets? Office files have their own Trash. See Delete and restore Office files Coming soon. A widget you remove from a desk can be brought back with Undo. See Undo and redo.
