The editor header, saving and the File menu
What the header above every Office file does, how saving works, and the menu bar and File menu each editor shares: rename, copy, history, downloads and trash.
Every file in PlexiiOffice opens in an editor with the same header across the top and a menu bar below it. Once you know one editor, you know where to rename, share, copy, download or delete a file in all six.
Before you start
- Plans. Everything here is on every plan.
- Chatting about a file needs you to be signed in to your PlexiDesk account.
The header
From left to right:
| Part | What it does |
|---|---|
| The back arrow | Leaves the file. In PlexiiOffice it is called Back to PlexiOffice and takes you back to Office Home. |
| The icon | Shows which kind of file this is. |
| The name | Click it and type to rename the file. The new name is kept as you type. |
| Filed in | Shows the folder the file is kept in, or Not filed — file it if it is not in one. Click it to choose a folder. See Organise files and file documents. |
| Chat (the speech bubbles) | Chat about this document opens a conversation tied to this file. See Chat about a desk, room or document. |
| Share | Share this file with people. See Share a widget, document or file. |
| Saved | Whether your latest change is saved. |
| The type | Document, Spreadsheet, Slides, Diagram, Design or Artwork. |
How saving works
There is no Save button. PlexiDesk saves your changes a moment after you make them.
- While a change is being written, the header says Saving.
- Once it is stored, it says Saved with a green cloud.
- If a change cannot be written, the header says Couldn't save in red. Your edits are still on screen, and PlexiDesk tries again the next time you type. Rest the pointer on the message for details.
Leaving a file, switching to another or quitting PlexiDesk keeps your latest changes.
The menu bar
Each editor has a menu bar under the header with the menus that suit it:
| App | Menus |
|---|---|
| PlexiDocs | File, Edit, View, Insert, Format, Tools, Help |
| PlexiSheets | File, Edit, Insert, Format, Data, Tools, Help |
| PlexiSlides | File, Edit, View, Insert, Slide, Format, Help |
| PlexiDiagrams | File, Insert, View, Help |
| PlexiDesign | File, Edit, Insert, Layout, Tools, Help |
| PlexiDraw | File, Edit, Object, Layer, Document, View, Help |
Click a menu to open it. While one is open, rest the pointer on another to switch. Press Esc or click elsewhere to close it. Commands with a keyboard shortcut show it at the right.
The File menu
The File menu works the same way in every editor:
- New starts a new, blank file of the same kind, such as New document or New spreadsheet, and opens it.
- Make a copy makes a copy called "Copy of" followed by the file's name and opens it. The original is not changed.
- Rename opens a box with the current name. Type the new one and click Rename.
- Version history lists earlier versions you can go back to. See Version history.
- Move to trash asks you to confirm, then moves the file to the trash and takes you to the Documents page. A message with Undo appears in case you change your mind. See Delete and restore Office files.
What you can save the file as depends on the app:
| App | In the File menu |
|---|---|
| PlexiDocs | Download > Microsoft Word (.docx), PDF document (.pdf) or Web page (.html), and Print (PDF) |
| PlexiSheets | Import (.xlsx / .csv), and Download > Microsoft Excel (.xlsx) or Comma-separated values (.csv) |
| PlexiSlides | Import (.pptx), and Download > PowerPoint (.pptx) or PDF document (.pdf) |
| PlexiDesign | Download > Image (.png) or PDF document (.pdf) |
| PlexiDraw | Export PNG…, Export SVG… and Export PDF…, and New from preset |
| PlexiDiagrams | Use Export in the diagram's toolbar for PNG, SVG and PDF. |
See Open and save Word, Excel, PowerPoint and Visio files and Export to PDF and print.
Undo and redo
Edit > Undo and Redo step back and forward through your changes. In PlexiDocs and PlexiSheets, the arrows at the left of the toolbar do the same. Press ⌘ Z on a Mac (Ctrl Z on Windows) to undo.
Start a meeting about the file
PlexiDocs, PlexiSheets, PlexiSlides, PlexiDiagrams and PlexiDesign have Insert > Meeting, and PlexiDraw has Document > Meeting. Each starts a meeting about the file you are in. See Start a meeting from a desk, document or chat.
Keyboard shortcuts and commands
- Help > Keyboard shortcuts lists the editor's shortcuts in PlexiDocs, PlexiSheets, PlexiSlides and PlexiDesign. PlexiDiagrams has How to diagram and PlexiDraw has How PlexiDraw works instead.
- In PlexiDocs and PlexiSlides, press ⌘ K on a Mac (Ctrl K on Windows) to run the editor's own commands by name. See The command palette.
See Keyboard shortcuts in Office.
Common questions
I renamed a file in its widget on a desk, but Office shows the old name. Renaming a widget changes its name on that desk only. To rename the file itself, use the name in the editor's header or File > Rename.
Where did my file go after Move to trash? To the trash. Click Undo in the message straight away, or restore it later. See Delete and restore Office files.
The header says Couldn't save. Keep the file open and type again; PlexiDesk retries. If the message stays, copy your latest work somewhere safe and contact support at [email protected].
