In a meeting

Use the PlexiiMeet room: mute, camera, screen sharing, recording, your notes and marked moments, inviting people, docking the meeting, and leaving.

All plansUpdated

A PlexiiMeet room is a video meeting inside PlexiDesk. Everyone appears as a video tile, and a row of controls along the bottom lets you mute, turn your camera off, share your screen, record, take notes, bring someone in or leave.

You do not have to stay on the meeting screen. Dock the meeting to one side of the window and carry on working in PlexiDesk while the call keeps going.

Meetings are part of every plan.

Before you start

What you see

The meeting opens full screen. At the top are the meeting's title, how many people are in it, and a line that says whether the meeting is being recorded, for example Not recording or Recording · all 3 consented.

Each person has a tile:

  • Your tile shows your camera, or You when your camera is off.
  • Other people's tiles show their video, Connecting… while their connection is being set up, or No video when their camera is off.

When someone shares their screen, it takes the main space, and people move to a strip underneath.

The controls

Control What it does
Mute / Unmute Turns your microphone off or on.
Turn camera off / Turn camera on Turns your camera off or on.
Share your screen / Stop sharing your screen Shows your screen, or a window, to everyone. When you start sharing, the meeting docks to the side so you can see what you are sharing.
Start recording — everyone will be asked Starts a recording. Everyone is asked before their voice is captured. See Recording, consent and transcripts.
Stop recording Shown to the person who started the recording. Others see Recording — only the person who started it can stop it.
Notes / Hide notes Opens your notes beside the video.
Invite people Lists teammates who are online. Click one to ring them into the meeting.
Collaborate (dock to the side) / Expand to full screen Docks the meeting to an edge of the window, or brings it back full screen.
Leave meeting Leaves the meeting.

Rest the pointer on a control to see its name.

Take notes and mark moments

Click Notes to open Notes — yours, verbatim beside the video. Type anything you want to remember. Your notes are kept exactly as you write them and are never rewritten.

To mark an important moment without leaving the keyboard, press ⌘ ⇧ M on a Mac or Ctrl Shift M on Windows. A flag with the time in the meeting, such as ⚑ 12:40, is added under your notes. When the meeting is recorded, marked moments point to that place in the transcript.

Prep for a booked meeting

When you join a meeting from its block on your calendar, the notes can open with a PREP section, gathered for you:

  • To settle: the agenda you wrote when you booked it.
  • Carried from the last meeting in the series: items from last time that are still open.
  • Open with each guest: open items that involve that person.

Click PREP to fold it away.

See the words live

Press ⌘ ⇧ T on a Mac or Ctrl Shift T on Windows with your notes open:

  • When you are recording, a live transcript appears under your notes, marked LIVE · rough and local — the Record is written at wrap-up.
  • When someone else is recording, a note explains that your transcript arrives with the meeting's record after the call.
  • When nobody is recording, a note says so and reminds you that starting a recording asks everyone first.

Keep working while you meet

  1. Click Collaborate (dock to the side).
  2. The meeting moves into a panel at the edge of the window, on the right the first time. Use PlexiDesk as usual: open desks, documents or anything else. The meeting keeps running.
  3. To move the panel to another edge, click one of the arrows at the top of the panel: Dock left, Dock top, Dock bottom or Dock right. PlexiDesk remembers the edge you chose.
  4. To go back to full screen, click Expand to full screen.

While the meeting is full screen, pressing Esc leaves the meeting. While it is docked, Esc does not.

Leave the meeting

Click Leave meeting, the red button at the end of the controls.

  • If you were still recording, your recording stops for everyone and the wrap-up opens with the transcript and summary. A recording you stopped earlier with Stop recording is not transcribed. See Meeting wrap-up and records.
  • If nothing was recorded but you took notes or marked moments, they are saved as a document called after the meeting, ending — your notes.

When something goes wrong

You see What to do
Could not access your microphone or camera. Check system permissions. Allow PlexiDesk to use your microphone and camera in your computer's settings, then join again.
Your tile shows a camera warning Your computer is blocking the camera. On a Mac, open System Settings > Privacy & Security > Camera, allow the app, then rejoin.
Screen share was cancelled or not permitted. Try again and choose a screen or window. On a Mac, allow screen recording for PlexiDesk.
A tile stays on Connecting… The other person's connection has not formed yet. Ask them to leave and rejoin.
No teammates online to invite right now. Nobody else is online. Send them the join link instead.

Common questions

How many people can be in a meeting? PlexiiMeet is designed for small meetings of a handful of people.

Can I leave the meeting screen without leaving the meeting? Yes. Click Collaborate (dock to the side) and the meeting stays with you as you work.

Who can see my notes? Only you. They are your own notes, not shared with the other people in the meeting.

Is the meeting recorded if I join late? If a recording is already running when you join, you are asked first, and nothing of yours is captured until you answer.
