Meetings from your Google or Outlook calendar

See the meetings on your linked Google or Outlook calendars in Plexii, with a button to join the call, the guest count and your own reply.

All plansUpdated

When you link a Google or Outlook calendar, its meetings appear on your Plexii calendar beside your own blocks. You can see at a glance who is coming, whether you said you would go, and join the call with one click, without opening another calendar.

These meetings are mirrored: Plexii shows them as they are in Google or Outlook, and you change them there.

Mirrored meetings are part of every plan.

Before you start

Link the calendar. How much you see depends on how you link it:

Linked by What each meeting shows
Signing in to the Google or Microsoft account Title, time, place, organiser, guests, your reply and a button to join the call
Pasting the calendar's link Title, time, place and organiser

See Sign in to Google or Microsoft calendars or Add a Google or Outlook calendar with a link.

What you will see

In Day, 3-Day, 5-Day and Week, a mirrored meeting is drawn flat in its calendar's colour, with a coloured edge on the left, so you can tell it from a block of your own.

On the meeting, when there is room:

  • The title, or Untitled event when it has none.
  • The place, under the title.
  • The number of guests, followed by your own reply: going, declined or maybe. When you have not replied, nothing is added.

Rest the pointer on the meeting to see everything in one line: the title, place, organiser, the guests by name, and your reply, for example You: accepted.

All-day events and the meetings of every linked calendar also appear on the days in Month, and as coloured dots in Year.

Join a meeting

  1. Rest the pointer on the meeting. A video camera button appears at its top right when the meeting has a video link.
  2. Click it. Its tooltip names the call, for example Join this Google Meet call, Join this Zoom call or Join this Teams call.

The link opens in the app or browser your computer uses for it.

If a meeting has no video camera button, it has no video link in Google or Outlook, or the calendar was added with a link rather than by signing in.

Change a meeting

Mirrored meetings cannot be moved, resized or edited in Plexii. Change the meeting in Google Calendar or Outlook. Plexii shows the change the next time the calendar refreshes, which happens every 15 minutes, or at once when you click Refresh now in Calendars. See Manage your calendars.

Tips

  • Plan around your meetings. Plan my day keeps time clear around meetings booked in Plexii. Set how much in Meeting buffer. See Plan my day.
  • Record a call you hold elsewhere. To keep a record of a Zoom, Teams or Google Meet call, book it in Plexii as a meeting with Paste link, then use the record button on the block. See Record notes or a meeting held elsewhere.
  • Too much on screen? Hide a calendar you do not need today by clicking its coloured dot in Calendars.

Common questions

Why can I not drag a mirrored meeting? Plexii shows it exactly as it is in Google or Outlook. Move it there.

My reply is not shown. Your reply appears only for calendars you signed in to, and only once you have replied in Google or Outlook.

The guest count is missing. It appears when the meeting is tall enough on screen. Rest the pointer on the meeting to see the guests in the tooltip, or switch to Day for more room.
