Recording, consent and transcripts
How recording works in PlexiiMeet: everyone is asked first, how answers are shown, transcribing 1:1 calls, and how long meeting audio is kept.
A PlexiiMeet meeting is never recorded on its own. Someone in the meeting has to start a recording, and when they do, every other person is asked first. Nobody's voice is captured until they say yes, and a person who says no is left out of the recording entirely. The top of the meeting says, in words, who has agreed, the whole time it runs.
When the recording ends, PlexiDesk turns it into a transcript and a summary on the computer that recorded it. You choose how long the meeting's audio stays on that computer afterwards.
Recording and transcripts are part of every plan.
Before you start
- Be in a meeting. See In a meeting.
- Let everyone know you would like to record. Each person will be asked in PlexiDesk, but a quick word first helps.
Start a recording
- In the meeting, click the record button. Its tooltip reads Start recording — everyone will be asked.
- Everyone else in the meeting is asked straight away.
- The line at the top of the meeting changes to show where things stand.
You can keep recording while people decide. Each person's voice is captured only from the moment they say yes.
When someone asks to record
A window opens in your meeting saying who wants to record, with the line Nothing of yours is captured until you answer. Choose one:
| Choice | What happens |
|---|---|
| Record me | Your voice is recorded and included in the transcript. |
| Record me, but leave me out of the transcript | Your audio is recorded for replay, but your words are left out of the written transcript. |
| Don't record me | Your audio is never captured. The meeting's record says so. |
You stay in the meeting whatever you choose. If you join a meeting that is already being recorded, you are asked as soon as you arrive.
What the recording line says
The line at the top of the meeting always says whether it is being recorded:
| The line says | What it means |
|---|---|
| Not recording | Nothing is being recorded. |
| Recording · only you | You are recording and you are the only person in the meeting. |
| Recording · all 4 consented | Everyone has said yes. |
| Recording · 2 of 4 consented — Sam has not responded | Some people have not answered yet. Their voices are not being captured. |
| … — Alex declined (not recorded) | Those people said no and are not recorded. |
Stop a recording
Only the person who started a recording can stop it. They click the record button again, Stop recording. Everyone else sees the button as Recording — only the person who started it can stop it.
When the person who started the recording leaves the meeting, the recording stops for everyone.
After the meeting
When the person who recorded leaves, PlexiDesk transcribes the recording on their computer, writes a summary, and opens the wrap-up so they can choose where the results go. See Meeting wrap-up and records.
Transcribe your 1:1 calls
One-to-one calls are separate from meetings. You can choose to have yours transcribed and summarised, and the other person is still asked every time.
- Open PlexiiMeet. In the side menu, under Apps, click Meet in the PlexiiApps group.
- In the RECORDING card under your meetings list, turn on Transcribe & summarise my 1:1 calls (the other person is asked).
It is off until you turn it on. When it is on and you are on a call:
- Your own microphone is recorded, and the other person is asked. The call shows Recording · asking and their name while they decide.
- They see that you asked Plexii to transcribe the call, recorded and transcribed on your computer, and choose Yes, transcribe or Not my voice. The call carries on either way.
- The call then shows Recording · you and their name consented, or Recording · only you — their name declined (not recorded).
- Click Stop on the call to stop capturing. What was recorded so far still wraps up when the call ends.
Choose how long meeting audio is kept
Meeting audio is kept only on the computer that recorded it.
- In PlexiiMeet, find Keep meeting audio in the RECORDING card.
- Choose never (discard at wrap-up), 7 days, 30 days, 90 days or forever.
Out of the box, audio is kept for 30 days. The transcript, summary and notes stay with the meeting whatever you choose.
Keep one meeting's audio
Open the meeting from your meetings list. When its audio is on this computer, a line near the bottom says how many audio tracks there are and how much space they use. On that line:
- Keep holds this meeting's audio past the retention window. It then reads Kept. Click it again to return to the normal window.
- Reveal shows the audio files on your computer, in Finder on a Mac.
- Re-transcribe runs the saved audio through transcription again. The segments, transcript and summary are rewritten.
Deleting a meeting deletes its audio too.
Common questions
Can a meeting start recording automatically? No. No setting, calendar rule or rejoin ever starts a recording. A person always starts it, and everyone is asked.
I said yes by mistake. Ask the person recording to stop. Only they can stop the recording.
What if someone never answers? Their voice is not captured. The line keeps saying they have not responded.
Can I record a call held in another app? Yes, from PlexiiMeet with Record external. See Record notes or a meeting held elsewhere.
