PlexiiOffice: your office suite
PlexiiOffice holds your documents, spreadsheets, decks, diagrams, designs and artwork. Learn how to open it, what each app does and where your files live.
PlexiiOffice is the office suite inside PlexiDesk. It is where you write documents, work out figures in spreadsheets, build decks, draw diagrams, lay out designs and make artwork, all in one place and all saved as you work.
Every file you make in Office can also sit on a desk as a widget. It is the same file in both places, so you can write a report in Office and keep it beside the research on the desk it belongs to.
Before you start
- Plans. PlexiiOffice and all six of its apps are on every plan.
- Organisations. An administrator can turn PlexiiOffice, or one of its apps, off for an organisation. A switched-off app shows greyed out with a lock. Point at it to see why.
Open PlexiiOffice
- In the side menu, click the Apps heading. PlexiiOffice opens on its Home page, titled PlexiOffice Home.
- Or press ⌘ K on a Mac (Ctrl K on Windows), type office and choose PlexiOffice.
The Apps section of the side menu also lists each app under PlexiiApps. Clicking one of the document apps there opens Office Home with its templates narrowed to that app. See The Office Home page.
The six apps
| App | What you make | Learn more |
|---|---|---|
| PlexiDocs | Documents: briefs, reports, letters and notes, with page layout, comments and suggested edits. | PlexiiDocs overview |
| PlexiSheets | Spreadsheets: budgets, trackers and lists, with formulas, charts and pivot tables. | PlexiiSheets overview |
| PlexiSlides | Presentations, with themes, speaker notes and a full-screen presenter. | PlexiiSlides overview |
| PlexiDiagrams | Flowcharts, org charts and process maps. | PlexiiDiagrams overview |
| PlexiDesign | Page layout and print: posters, social posts and publications. | PlexiiDesign overview |
| PlexiDraw | Vector drawing and painting. | PlexiiDraw overview |
On Office Home, clicking an app's tile creates a new, blank file in that app and opens it. See Create a document, sheet, deck, diagram, design or artwork.
Where your files live
Every file you make, in any of the six apps, is listed in Office:
- Office Home shows your most recent files, with tabs to narrow them by kind.
- The buttons along the top of Office Home, All, Recent, Starred, Shared with me, Templates and Trash, each show one view of your files. See Find, star and pin your Office files.
Files save automatically as you type. There is no Save button. See The editor header, saving and the File menu.
What every app shares
The six editors work the same way in the places that matter:
- The header above each file: its name, where it is filed, chat, Share and whether your latest change is saved.
- The File menu: a new file, Make a copy, Rename, Version history and Move to trash, plus the downloads that app offers.
- Version history: earlier versions are kept as you work, and you can restore one. See Version history.
- Trash: a file you delete can be restored. See Delete and restore Office files.
- Office files in and out: open Word, Excel, PowerPoint and Visio files, and save back to them or to PDF. See Open and save Word, Excel, PowerPoint and Visio files.
- AI: each app has AI built into its editor. See AI in PlexiiOffice.
Office files on desks
A document, spreadsheet or deck can sit on a desk as a widget, and so can a diagram, design or artwork. The widget points at the file in Office rather than copying it. See Put a document, spreadsheet or deck on a desk.
You can also go the other way and show a desk's widget inside a document. See Embed desk widgets and other files in a document.
Also in the Apps section
The Apps section of the side menu holds more than the six office apps. Under Tools you will find Mail, Inbox, Chat, Calendar, Files, Browser and Vault, and Sign and Meet sit with the office apps under PlexiiApps. Each opens inside Office, so the menu stays where it is. See Files: your folders and files and Browse the web inside PlexiDesk.
Common questions
Is a file on a desk a copy of the one in Office? No. It is the same file. Editing it on the desk or in Office changes one file.
Do I need to be signed in to use Office? No. You can create and edit files without signing in. Some extras, such as AI on PlexiDesk credits and editing live with other people, need an account.
An app's tile is greyed out with a lock. That app is not available to you. Point at the tile to see why: either an administrator has turned it off, or it is not included in your organisation's plan.
