Files: your folders and files

Files is your drive in PlexiDesk. Keep files and Office documents in folders, see them as a list or as icons and previews, and open anything from one place.

All plansUpdated

Files is your drive inside PlexiDesk: one place for the files you bring in, in folders you make, alongside the Office documents you file there. Use it to find a file you added to a desk weeks ago, keep a project's papers together, or put a document in the folder it belongs to.

Before you start

  • Files is on every plan.
  • Files are kept inside PlexiDesk. While you are signed in, your folders and files sync to your other computers with the rest of your work. See Sync your work across devices.

Open Files

Click the Apps heading in the side menu, then Files under Tools. Office Home also has a Files tile.

Files opens at the top level, called Files in the path bar.

What is in Files

  • Folders you make, or bring in from your computer.
  • Files of any kind: pictures, PDFs, spreadsheets, recordings and more. Files you drop onto a desk are kept here too, at the top level, so you can find them later.
  • Office documents you have filed into a folder: documents, spreadsheets, decks, diagrams, designs and artwork. A document lives in one folder at a time. See Organise files and file documents.

What you see

  • The toolbar: Files, Undo and Redo, New folder, Add files, Import folder and Add document. On the right, the four ways to view the folder.
  • The path bar: where you are, such as Files › Projects › Launch. Click any part to go back up to it.
  • The folder's contents, folders first.

Four ways to view

Click a button at the right of the toolbar:

View What it shows
List A table with Name, Type, Size, Date added and Date modified.
Small icons A grid of small icons.
Large icons A grid of larger icons.
Large preview Large previews of pictures and other files the computer can preview.

Files remembers the view and sort order you last used.

Sort

  • In List, click a column heading to sort by it, and click it again to reverse the order. Right-click the heading row to choose a column from a menu.
  • In the icon views, choose Name, Size, Type, Date added or Date modified from the Sort by list in the toolbar.

Folders always stay above files.

Open things

Double-click to open:

  • A folder opens in place.
  • An Office document opens in its editor.
  • A file opens in the app your computer uses for that kind of file.

Right-click anything for more, such as Rename, Reveal in Finder for a file, sharing, and Delete. See Organise files and file documents.

Large files

Files keeps a file of any size on the computer you added it on. A file over 50 MB is marked on this device only in the Size column: its name and type appear on your other devices, but its contents stay on this one. Rest the pointer on the label for the details.

Undo

Undo and Redo in the toolbar, or ⌘ Z and ⇧ ⌘ Z on a Mac and Ctrl Z and Ctrl Shift Z on Windows, step back and forward through what you did in Files while it is open: new folders, renames, moves, added files and deletions.

Files on a desk

To show a folder from Files on a desk, add a Drive (folder) widget. See Drive (folder) widget.

Common questions

Where is a file I dropped on a desk? At the top level of Files, under its own name. Move it into a folder if you like; the desk keeps showing it.

Why is a document not in Files? Office documents appear in Files once you file them in a folder. Use Add document, or the Filed in button in the document's editor. See Organise files and file documents.

How do I share a file? Right-click it for sharing options. See Share a widget, document or file.

I deleted something by mistake. Click Undo in the toolbar straight away.
