Review and apply Plexii's changes
Plexii proposes each change as a card with a reason and a preview. Apply one, a selection or all of them, choose where they go, and undo in one step.
When you ask Plexii to do something, such as add a table, draft an email or set up a desk, it does not just go ahead. It answers with cards: one for each change, each saying what it would do and why, with a small preview of the result. You decide which ones happen. Nothing changes until you apply a card.
Before you start
- Every plan includes proposal cards.
- Plexii needs AI to run. See AI credits and where your AI runs.
- Your autonomy setting matters. It decides whether cards offer one-click apply, and whether low-risk ones apply by themselves. See How your autonomy setting changes the cards.
What a card shows
Each card has:
- An icon and a verb for the kind of change, such as Add table, New desk, Draft email or Schedule.
- What it applies to, such as the table's name and how many columns it has, or the time and length of a calendar block.
- The reason Plexii gave, in a lighter line underneath. If Plexii gave none, the card says Plexii gave no reason for this one — worth a look before you apply it.
- A small preview of the real thing, where there is one to show: the actual columns of a table, the items of a list, the first lines of a page.
- On the right: apply, a cross to dismiss the card, and for some cards a button to choose where the result goes.
For every kind of card and what applying it does, see Everything Plexii can create or change.
Apply one card
Click the card. While it works, the right of the card shows what is happening, such as creating…. When it is done, the card turns green.
If something goes wrong, a short message in amber appears on the card saying why, and the card stays so you can try again.
Apply several cards
When an answer has more than one card, a box sits to the left of each, and a button sits under the group.
- Apply all. Click Apply all 4 (the number is how many cards are waiting) to apply every card in order.
- Apply a selection. Tick the boxes beside the cards you want. The button changes to Apply selected 2. Click it to apply only those.
Cards are applied one after another, in order, so a card that adds rows to a new table always runs after the card that creates the table. If a card needs another card that you have not applied yet, Plexii applies that one first.
If any of the cards deletes something from your desk, PlexiDesk asks you to confirm first, and tells you how many items will be deleted.
Dismiss a card
Click the cross on the card (Dismiss this suggestion). The card disappears and nothing changes.
Choose where a change goes
A change that adds something, such as a widget, a table, a page, a list or a document, normally goes on the desk you are on. To put it somewhere else:
- Click the move button on the card (Choose where to add this).
- A box asks Where should … go? Choose one:
- This desk, the desk you are on.
- Add to Files, for a document, so it is saved to your files rather than placed on a desk.
- New desk: type a name in New desk name and click New desk, or press Enter. PlexiDesk creates the desk and puts the change on it.
- Or another desk: click one of your desks in the list.
- Click Cancel to close the box without applying.
If you apply a card that belongs on a desk while you are not on one, for example on the Plexii hub, the same box opens so you can pick a place. If you asked for something on a particular desk by name, Plexii already knows where it goes, and the card applies there without asking.
When you send a change to another desk or a new desk, PlexiDesk takes you there so you can see the result.
Applied cards
An applied card stays in the conversation as a record: green, with its verb followed by · done, and a line saying what happened, such as Added task "Book venue". Applied cards stay green when you come back to the conversation later.
Click Go to on an applied card to open what it created, such as the new desk, document or table.
Undo
Press ⌘ Z on a Mac or Ctrl Z on Windows to undo the last change Plexii applied. An Apply all or Apply selected is one step: a single undo reverses the whole batch.
Undo works when you are not typing in a text box, and not inside a document editor, which keeps its own undo.
Drafts are not on the undo list, because nothing has changed: Draft email and Draft message cards open a draft for you to review and send yourself.
How your autonomy setting changes the cards
Assistant autonomy, in Settings > AI, decides how much Plexii may do on its own:
| Setting | What happens to cards |
|---|---|
| Ask before acting | Every card waits for you to apply it. This is the setting until you or your organisation change it. |
| Act on low-risk, ask for the rest | Low-risk cards, such as adding a widget, a table or a page, apply by themselves on the desk you are on, and a line under the group says Applied automatically — your autonomy setting allows low-risk work without asking. Deleting, scheduling, drafting email or chat messages, acting on mail and starting a focus timer still wait for you, and so does anything that needs you to choose where it goes. |
| Suggest only | Cards show what Plexii suggests, but there is no one-click apply. A line under the group explains why, and clicking a card tells you the same. |
See Assistant autonomy.
Tips
- Read the reason. It is there so you can decide quickly. A card with no reason deserves a closer look.
- Tick a selection for a partial yes. If you like three of five cards, tick those three rather than applying and undoing.
- Use New desk to keep ideas separate. Sending the cards for a new project to a fresh desk keeps your current desk tidy.
Common questions
I clicked a card and a box asked where it should go. You are not on a desk, so Plexii needs to know where to put it. Pick This desk, a new desk or another desk.
Did Plexii send my email? No. Draft email opens the mail composer with the draft filled in. You review it and press send yourself. The same goes for Draft message in Chat.
A card applied without me clicking it. Your autonomy setting is Act on low-risk, ask for the rest, so low-risk cards apply by themselves. Undo it with ⌘ Z (Ctrl Z), or change the setting in Settings > AI.
Clicking a card does nothing but show a message. Your autonomy setting, or your organisation's, is Suggest only. Plexii shows what to do and leaves the doing to you.
Undo didn't do anything. Click on the desk first, so you are not typing in a text box, then press ⌘ Z (Ctrl Z).
